Job Summary

Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing inquiries with professionalism and courtesy.
- Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace, ensuring all records are up-to-date and well-organized.
- Oversee office management responsibilities, including filing, document proofreading, calendar management, and maintaining office supplies inventory.
- Provide customer support by addressing client questions promptly via phone or email while maintaining excellent phone etiquette.
- Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial record-keeping and billing processes.
- Coordinate appointments, meetings, and calendar schedules for team members or executives with efficient time management practices.
- Support administrative functions related to medical or dental reception duties if applicable, including patient check-in procedures and appointment scheduling.
- Maintain a professional front desk presence by managing incoming calls, handling correspondence, and ensuring a welcoming environment for visitors.
Skills
- Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and other productivity software.
- Strong organizational skills with the ability to multitask effectively in a fast-paced office setting.
- Excellent computer literacy combined with technical proficiency in office management tools.
- Effective communication skills with a focus on phone etiquette and customer service excellence.
- Bilingual abilities are highly desirable to serve diverse client needs efficiently.
- Previous clerical experience or office experience is essential for understanding administrative workflows.
- Demonstrated experience in data entry, proofreading, filing systems, and calendar management.
- Personal assistant or medical/dental receptionist experience is advantageous but not mandatory.
