We are looking for a Full-Time Administrative Assistant to support our Memory Care Community. Detail-oriented individuals with compassionate customer service skills will succeed in this position. The ideal candidate is organized, dependable, and ready to support day-to-day business operations.
Schedule:
Monday through Friday
8:00 AM - 4:30 PM
Weekends off and paid holidays off
IN-PERSON INTERVIEWS WILL BE HELD IN JUNE
Anticipated start date by the end of June, early July
I. General Purpose of the Job
This position provides administrative support to maintain a highly efficient and organized office environment and ensure quality records and documentation management. It is also responsible for managing communication entering the facility during regular business hours.
II. Job Functions

Specific Duties and Responsibilities
- Serve as the receptionist at the front desk, welcoming visitors and residents, answering and directing callers to the appropriate person, and providing information as requested.
- Maintain front office and administrative tasks, including maintaining files, checking voicemails, mail, interoffice mail, supplies, etc.
- Create and maintain residents’ beauty shop, service plan, care plan, podiatry, and med check-in schedules.
- Pick up and drop off mail daily from/for Business Office and Assisted Living
- Maintain Policy & Procedures, Disaster Manuals, Community Resources or other Informational binders for IL, AL, and MCC.
- Maintain POLSTS, DNR lists, Amber Alert Books, and other checklists, etc.
- Complete necessary tasks for new admission.
- Send out daily census.
- Provide administrative support to the Wellness Coordinator, which includes but is not limited to faxing and scanning orders to physicians
- Maintain and keep up with the RF Technologies Nurse Call System, including inputting residents, bed alarms, notification, and alarm clearing.
- Assign new employees with lockers as requested. Maintain a system for lockers & locks.
- Maintain office & wellness room office equipment.
- Audit and review medical records for compliance.
- Fax Incident Reports to 313-626-777.
- Prepare Job Task Lists for roles, distribute, collect, and file.
- Organize and manage all files, including overflow records.
- Update the Register of Facility Residents.
- Type up and distribute Family Council Minutes, House Meeting Minutes, etc.
- Maintain and update casualty cards, face sheets in emergency barrels, the POLST list, the Emergency Book, Fire Alarm books, and employee mailboxes.
- Send an Exit Questionnaire to residents' families after they have moved out of MCC.
General Duties and Responsibilities

- Adhere to and implement a person-centered, relationship-based approach to working with residents and their families.
- Assist in providing and maintaining an environment that provides a balance of structure and nurture while working to engage residents in daily life, encouraging them to be as independent as possible
- Complete and maintain training requirements related to dementia care, program philosophy, and job description-related training.
- Establish and maintain appropriate professional boundaries with clients, family members, referral sources, and external agency contacts.
- Follow Residents’ Rights and Confidentiality policies at all times.
- Follow facility safety, emergency, and disaster programs.
- Maintain the principles of infection control and be aware of all safety hazards and emergency procedures for fire and disaster that would ensure the safety of our residents.
- Observe infection control procedures.
- Interact positively with residents, families, and all staff. Be sensitive to residents’ particular individual needs and desires.
- Assume accountability for data contained in the employees’ handbook.
- Attend all in-service training programs and complete Relias trainings as assigned.
- Perform other related duties as directed by his/her supervisor cooperatively.
III. Qualifications
- Must pass a California criminal background clearance.
- Must have an associate degree or equivalent from two-year college or technical school, or at least six months of related experience.
- Must possess excellent written and oral communication skills in English.
- Must be computer literate and have experience with Microsoft Office.
- Must be in good physical and mental condition, capable of performing assigned tasks;
- Good health must be verified by a health screening performed by a licensed physician, including a chest X-ray or intradermal test for TB.
- Must be able to hear, talk, and have a clear vision with or without corrective lenses.
- Must be able to sit, stand, bend, lift, and move intermittently during working hours and lift or exert force of up to 25 lbs.
- Must be able to perform in a busy environment, subject to frequent interruptions, hostile and emotionally upset residents and family members, and subject to falls, infectious diseases, substances, and odors.
- Must be willing to work beyond normal working hours.
- Must be computer literate and willing to learn new programs needed for the role.
