We are looking for an energetic, customer-focused, and detail-oriented Customer Service Representative (CSR) to join our team and help create outstanding experiences for our customers.
Position Summary
The Customer Service Representative serves as the first point of contact for our customers and plays a critical role in driving customer satisfaction, booking opportunities, and operational excellence.
This role requires strong communication skills, the ability to multitask in a fast-paced environment, and a willingness to learn multiple service trades including HVAC, Electrical, Plumbing, and Water Heater services.
The ideal candidate is customer-focused, organized, technology-savvy, and motivated to help customers while supporting company growth.
Key Responsibilities
1. Customer Experience & Communication
- Answer inbound calls, texts, emails, and online inquiries promptly and professionally.
- Deliver a world-class customer experience during every interaction.
- Build rapport with customers and identify their service needs.
- Resolve customer concerns with professionalism, empathy, and urgency.
- Handle escalated customer situations and coordinate resolutions when necessary.
- Maintain accurate customer records and notes.
2. Scheduling & Dispatch Support
- Schedule service, maintenance, and installation appointments efficiently.
- Coordinate schedules with field teams.
- Optimize appointment availability and technician utilization.
- Confirm appointments and communicate scheduling updates to customers.
- Assist with same-day scheduling opportunities and emergency service requests.
3. Sales & Booking Performance
- Convert inbound inquiries into booked appointments.
- Educate customers on available services, memberships, and maintenance plans.
- Identify opportunities to cross-sell and promote additional services when appropriate.
- Support company revenue goals through effective communication and customer service.
- Follow up on unsold estimates, missed opportunities, and customer inquiries.
4. Multi-Trade Customer Support
- Assist customers with service requests related to:
- HVAC
- Electrical
- Plumbing
- Water Heaters
- Learn and understand the basics of each trade to effectively communicate with customers.
- Route customers to the appropriate department while maintaining a seamless customer experience.
- Stay informed on company offerings and service capabilities.
5. Team Collaboration
- Work closely with management, dispatch, technicians, sales staff, and administrative teams.
- Participate in team meetings and training sessions.
- Support company initiatives and process improvements.
- Maintain a positive and professional attitude that contributes to team success.
6. Reporting & Performance
- Track customer interactions and maintain accurate documentation.
- Monitor customer feedback and identify opportunities for improvement.
- Assist in reporting customer service metrics and KPIs.
- Maintain performance standards related to responsiveness, booking rates, and customer satisfaction.
Preferred Qualifications
Required
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional phone presence and customer service mindset.
- Ability to remain calm under pressure and solve problems effectively.
- Proficiency with computers, Microsoft Office, and web-based software.
- Positive attitude and strong work ethic.
- 3 years' experience in customer service, call center operations, dispatching or home services.
- Experience using ServiceTitan or similar field service management software.
- Experience booking service calls, maintenance appointments, and installation consultations.
Preferred
- Experience with HVAC, Electrical, Plumbing, Water Heater, or other home service industries.
- Comfortable working in a sales-oriented customer service environment.
- Ability to learn multiple trades and communicate confidently with customers across various service offerings.
