This is not your average Executive Assistant position! Being a part of our small team doesn't just mean that you will be tasked with Executive assistant duties. Job Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team! In this vital role, you will provide comprehensive administrative support to senior leadership, ensuring smooth daily operations and facilitating efficient project execution. Your proactive approach, exceptional organizational skills, and positive attitude will help drive our mission forward. This position offers an exciting opportunity to be at the heart of our organization’s success, supporting key initiatives with a variety of administrative tasks with enthusiasm and precision. This position is for the Sales Department the candidate for this position should have strong verbal communication skills and ability to work in a fast-paced team environment.

Duties

  • Manage complex calendars using Google Workspace, scheduling appointments, meetings, and travel arrangements with attention to detail.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, proofreading documents, and ensuring follow-up on action items.
  • Handle correspondence via email, phone calls, and written communication with professionalism and courtesy, demonstrating excellent phone etiquette.
  • Assist with event planning for company functions and conferences
  • Provide executive administrative support by preparing reports, transcriptions, and proofreading documents for accuracy and clarity.
  • Support project coordination efforts by tracking deadlines, milestones, and deliverables across multiple initiatives.
  • Utilize office software such as Google Workspace tools, and DocuSign for electronic signatures.
  • Preparing estimations, proposals and contracts within our CRM (customer relationship management) and accounting system
  • Maintain project files, digital and paper

Qualifications

  • Proven experience in a similar administrative role with a strong background in office responsibilities.
  • Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Proficiency in , Google Workspace tools and familiarity with data entry processes.
  • Excellent typing speed combined with strong proofreading and transcription skills to produce accurate documents swiftly.
  • Strong communication skills with polished phone etiquette and professional demeanor when interacting with clients and team members alike.
  • Ability to handle multiple responsibilities simultaneously while maintaining attention to detail.
  • Knowledge of multi-line phone systems, calendar management tools and electronic signature platforms such as DocuSign is preferred.
  • Experience supporting senior executives or personal assistants is highly desirable. Job Type: Full-time

Pay: $17.00 - $21.00 per hour

Expected hours: 40 per week
