This role requires close collaboration with providers, medical assistants, and front office staff to maintain operational consistency, uphold clinical standards, and foster a positive, team-oriented environment.
The Office Coordinator serves as the on-site point of contact for staff and patients, ensuring that all aspects of the practice—from scheduling and inventory management to patient service and facility maintenance—run smoothly.
This role is responsible for taking initiative, addressing issues promptly, and upholding the practice’s values of professionalism, compassion, and excellence in all aspects of daily operations.
Key Responsibilities:

Oversee and maintain daily operational flow to ensure the location runs efficiently and effectively.
•
Monitor provider schedules, ensuring optimal fill rates and addressing scheduling gaps or opportunities.
•
Manage patient reschedules and cancellations to maintain productivity and patient satisfaction.
•
Respond to Google reviews in a professional and timely manner, upholding the practice’s reputation and patient engagement.
•
Oversee inventory control, ensuring adequate stock of medical and office supplies.
•
Manage pharmaceutical representative visits and sample inventory in accordance with office policies.
•
Coordinate and track facility maintenance requests to ensure a safe and functional environment.
•
Verify completion of daily opening and closing checklists to maintain operational readiness.
•
Handle patient concerns and complaints promptly, escalating when necessary to management for resolution.
•
Review and verify staff timecards for accuracy prior to payroll submission.
•
Support quality control measures and uphold clinical and operational standards across the team.
Qualifications:
•
2 years of medical office or healthcare leadership experience, preferably in dermatology.
•
Strong organizational and communication skills with the ability to multitask and problem-solve in a fast-paced environment.
•
Experience with electronic medical records (EMR); Modernizing Medicine (ModMed) experience preferred.
•
Ability to lead by example and foster a positive, professional, and patient-centered work environment.
•
Detail-oriented with a proactive approach to operational issues and patient service.
Schedule: Full-time, Monday through Friday. Occasional travel may be required to other locations for meetings or support.
