JOB DESCRIPTION
Summary/Objective
The Bookkeeper is responsible for maintaining accurate financial records and supporting the day-to-day financial and operational activities of ARS Landscaping Corp. This position oversees bookkeeping functions, assists with project financial tracking, manages warehouse inventory and company inventory records, maintains JobTread and QuickBooks data, collects and reconciles company credit card receipts, prepares financial reports, partners with the company's CPA for month-end and year-end accounting processes, and supports the overall financial and operational efficiency of the company.
The ideal candidate is highly organized, detail-oriented, bilingual in English and Spanish, and able to work efficiently in a fast-paced construction environment.
Essential Functions

- Perform daily bookkeeping activities, including recording and reconciling financial transactions.
- Maintain accurate financial records using QuickBooks.
- Record, classify, and reconcile daily financial transactions.
- Prepare monthly and quarterly financial and budget reports.
- Maintain accurate project financial information in the CRM System (JobTread).
- Coordinate JobTread and QuickBooks to ensure accurate project costing and reporting.
- Manage warehouse inventory records for Illinois and New York locations.
- Collect, organize, and reconcile company credit card receipts and employee expense documentation.
- Partner with the company's CPA to prepare month-end, year-end, tax, audit, and financial reporting documentation.
- Maintain organized financial records and supporting documentation.
- Communicate professionally with employees, vendors, customers, and management in both English and Spanish.
- Ensure compliance with company policies and applicable accounting standards.
- Recommend process improvements to increase efficiency and accuracy.

Work Environment
This position operates primarily in a professional office environment and regularly uses computers, accounting software, telephones, printers, scanners, and other standard office equipment. Occasional visits to the warehouse may be required to verify inventory or materials.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
Position Type and Expected Hours of Work
This is a full-time in-person position at our office location in Manteno, Illinois.
Typical work schedule is Monday through Friday, 8:00 a.m. to 4:00 p.m.
Occasional overtime may be required during year-end closing, audits, or other business needs.

Education and Experience
- High school diploma or GED required.
- Minimum of 2–3 years of bookkeeping or accounting experience.
- Ability to maintain confidentiality with financial information.
- Bilingual in English and Spanish (Required).
Preferred Education and Experience
- Associate's Degree in Accounting, Finance, or Business Administration.
- Experience in the construction industry.
- Experience with QuickBooks Online.
- Experience with JobTread or other construction management software.
- Inventory management experience.
