In this role, you will be the backbone of our office operations, providing essential support to ensure smooth and efficient daily activities. The ideal candidate will possess strong time management skills and be adept at handling various administrative tasks while maintaining a professional demeanor. Powerline/Utilities experience preferred.
Responsibilities
Accounts Payable (AP)
- Enter and review vendor invoices
- Code invoices to the correct account and job
- Process payments (checks, ACH) on time
- Track due dates and resolve invoice issues
- Reconcile vendor statements
- Maintain organized invoice records
Accounts Receivable (AR)
- Prepare and send customer invoices
- Apply customer payments correctly
- Track outstanding invoices and follow up on past due accounts
- Resolve billing questions or disputes
- Maintain accurate AR records
Credit Card Reconciliation
- Reconcile Credit card accounts monthly
- Identify and correct errors or missing transactions
Employee Insurance Management
- Process benefit enrollments and terminations
- Ensure payroll deductions are accurate
- Reconcile insurance bills
- Assist employees with benefits questions
New Employee Onboarding
- Collect and process new hire paperwork
- Set up employees in payroll and timekeeping systems
- Coordinate benefit enrollment and required forms
- Issue company policies and onboarding documents
- Track onboarding completion and required training
Skills and Qualifications
- Must be extremely reliable (strong record of attendance)
- Experience working in Quickbooks, or a similar small-medium sized business accounting software, plus generating reports (P&Ls, balance sheets, AR aging, AP aging)
- Prior experience in AP/AR or bookkeeping
- Basic accounting and reconciliation knowledge
- Experience with payroll, benefits, or HR-related processes
- Strong organizational and time-management skills
- Attention to detail and accuracy
- Comfortable working with accounting and payroll systems
- High School Diploma or equivalent, Bachelor's/College preferred
- Ability to work independently and handle multiple projects with tight deadlines
- Orientation towards customer service and professionalism

Pay: $50,000.00 - $70,000.00 per year
