Job Summary
We are seeking a highly organized and detail-oriented Legal Secretary to support our legal team across various practice areas, including estate planning, environmental law, family law, securities law, immigration law, and more. The ideal candidate will possess strong administrative skills, legal research expertise, and the ability to manage multiple tasks efficiently within a fast-paced law office environment. This role offers an opportunity to work closely with attorneys, assist in legal document preparation, and contribute to the smooth operation of our legal services.
Responsibilities
- Provide comprehensive executive administrative support to attorneys and legal staff
- Manage legal case files using document management systems and conduct thorough document review
- Draft, proofread, and edit legal documents including contracts, pleadings, correspondence, and reports
- Conduct legal research utilizing Westlaw, LexisNexis, and other research tools to support case development
- Organize and maintain case files with meticulous attention to detail; ensure timely filing and data entry
- Assist with client interviews and gather relevant information for case preparation
- Schedule appointments, court dates, and meetings; coordinate with clients and external parties
- Transcribe dictations accurately and efficiently; perform proofreading of all legal documents
- Support litigation activities by managing case documentation and tracking deadlines
- Maintain confidentiality of sensitive information in accordance with firm policies
Skills
- Extensive knowledge of diverse practice areas such as estate planning, environmental law, family law, securities law, immigration law, landlord-tenant law, workers' compensation law, personal injury law, tribal law & regulations, patent law, UCC law
- Proficiency with legal software including PCLaw, iManage, Clio (or similar), Document management systems, and data entry tools
- Strong research skills utilizing Westlaw and LexisNexis for legal case research and analysis
- Excellent writing skills for drafting legal documents and correspondence with attention to accuracy and clarity
- Experience with legal administrative tasks such as filing, document review, proofreading, transcription, and contract management
- Familiarity with litigation processes and legal case management practices
- Exceptional organizational skills combined with effective phone etiquette and professional communication abilities
- Ability to handle multiple priorities efficiently in a busy law office environment; project management experience is a plus
- Paralegal experience or background in legal administrative support is highly desirable
