Job Title: Service Writer / Admin (Material Handling)
Sign-On Bonus $2000

Position Overview

As a Service Writer / Admin, you’ll play a key role in maintaining our reputation by supporting our machinery service operations and ensuring an excellent customer experience.

Key Responsibilities

Customer Service & Communication

• Serve as the liaison between customers and the dealership

• Greet walk-in customers and answer incoming calls

• Ensure customer satisfaction by promoting service offerings and assisting with labor and parts sales

• Inform customers of warranty coverage; if unclear, communicate provisional billing until status is confirmed

Service Administration

• Write, track, review, and assist with job closing procedures

• Review daily work schedule with the Service Manager to monitor progress, parts delivery, and deadlines

• Ensure repairs stay within quoted labor hours and obtain proper job authorizations

• Process technician timecards and maintain service reports

Parts & Sales Support

• Assist the Parts Manager with ordering, inventory control, and restocking

• Support the parts counter during peak times to ensure timely customer service

• Help the Sales Department with administrative tasks, including processing financial documents and machine orders

Additional Responsibilities

• Promote compliance with company safety and housekeeping policies

• Review final invoices against service proposals to ensure customer satisfaction

• Keep the Service Manager informed on operational matters

• Support the Parts Manager with department administration as needed

Desired Skills & Qualifications

• Strong attention to detail and a proactive, solution-focused mindset

• Excellent written and verbal communication skills

• Proficient in Microsoft Word and Excel

• Good mathematical and analytical skills

• Able to work independently with minimal supervision

Physical Requirements

• Ability to sit or stand for extended periods

• Capable of bending, reaching, and moving through uneven terrain as needed

• Must be able to communicate effectively via phone and in person

• Must be able to lift, file, and handle general office equipment

Education & Experience

• High School Diploma or equivalent required

• Relevant work experience may be considered in place of formal education
