The Athletics Coordinator serves as the primary leader for all athletic programming at Armfield Recreation Center. This role is responsible for the planning, organization, and execution of youth sports programs, including scheduling, staffing coordination, and participant experience.
Reporting directly to the Assistant Director, the Athletics Coordinator manages day-to-day athletic operations while receiving strategic guidance and oversight. This position requires both administrative strength and hands-on program leadership to ensure programs run efficiently, safely, and in alignment with the Center’s mission.
The Athletics Coordinator serves as the main point of contact for athletic programs and plays a key role in delivering a positive and organized experience for participants, families, and staff.
Key Responsibilities
Program Leadership & Execution
- Lead and manage all youth sports programs from planning through execution.
- Develop seasonal program offerings and maintain sports calendars.
- Ensure programs are well-organized, safe, and aligned with the Center’s standards.
- Oversee game-day operations, including setup, flow, and issue resolution.
- Monitor program quality and participant experience, making adjustments as needed.
Registration & Systems Administration
- Create and manage athletic program registrations within the facility’s software system.
- Maintain accurate participant records, team assignments, and rosters.
- Monitor enrollment numbers and provide regular updates to the Assistant Director.
- Track deadlines, waitlists, and capacity limits.
- Ensure waivers and required documentation are properly collected and stored.
Scheduling & Program Logistics
- Develop and manage season schedules for practices and games.
- Coordinate facility space usage in alignment with overall center scheduling.
- Maintain and update athletic calendars.
- Prepare score sheets, team rosters, and program documentation.
- Schedule and coordinate referees, coaches, and volunteers.
Communication & Coordination
- Serve as the primary point of contact for parents, participants, coaches, referees, and volunteers.
- Communicate program details, schedules, updates, and expectations clearly and professionally.
- Address routine questions, concerns, and issues; escalate complex matters to the Assistant Director as needed.
- Maintain consistent and timely communication to ensure program clarity and success.
Operational & Administrative Support
- Coordinate equipment inventory, distribution, and uniform tracking.
- Assist in payroll documentation preparation for referees and coaches.
- Maintain organized digital and physical program files.
- Track supply needs and coordinate purchases with the Assistant Director.
Oversight & Accountability
- Operate with a high level of ownership over athletic program success.
- Implement policies and procedures with guidance from the Assistant Director.
- Provide regular updates, reports, and recommendations to support program improvement.
- Ensure compliance with safety standards, facility policies, and program guidelines.
Qualifications
- Strong organizational and leadership skills.
- Experience in youth athletics, recreation programming, or event coordination preferred.
- Experience with registration or scheduling software preferred.
- High attention to detail and ability to manage multiple priorities.
- Strong communication and problem-solving skills.
- Ability to work both independently and within a structured leadership framework
Job Type: Part-time
Pay: $30,000.00 - $35,000.00 per year
