Patient Services Coordinator
Reports to: Director of Operations
Overview
The Patient Services Coordinator serves as a key connection between patients, clinical staff, and administrative operations at the Arkansas Center for Surgical Excellence (ACSE). This role ensures each patient's experience is handled with care, clarity, and professionalism.
In addition to guiding patients through their procedural journey, this position plays a critical role in supporting ACSE's operational and financial health. The Coordinator assists with scheduling, documentation, and payment tracking, ensuring that every detail is accurate and complete.
Key ResponsibilitiesPatient Services & Communication
- Serve as the primary point of contact for patients prior to their procedure, providing clear instructions and compassionate guidance.
- Confirm required documentation, insurance information, and pre-procedure readiness to ensure a smooth surgical experience.
- Coordinate closely with scheduling, anesthesia, and nursing teams to maintain accurate patient timelines and communication.
- Greet and assist patients upon arrival, verify consents and forms, and ensure timely, organized check-ins on the day of service.
- Support follow-up communication post-procedure, including satisfaction surveys and assistance with general questions.
Administrative & Revenue Coordination
- Monitor patient payments and communicate with billing and coding personnel to ensure proper documentation and charge capture.
- Verify insurance eligibility, assist with pre-authorizations, and reconcile payment records for accuracy.
- Track outstanding balances, identify discrepancies, and coordinate resolution with the billing department.
- Maintain organized patient and financial records that support compliance and audit readiness.
- Generate periodic reports summarizing patient flow, payment activity, and process improvements.
Operational Support
- Collaborate across departments to streamline scheduling, documentation, and check-in workflows.
- Identify opportunities to improve patient flow and administrative efficiency.
- Uphold confidentiality, professionalism, and attention to detail in every aspect of patient and data handling.
- Support clinical and administrative leadership in special projects, audits, or initiatives as needed.
Qualifications
- High school diploma or equivalent required; associate's or bachelor's degree in healthcare administration, business, or a related field preferred.
- Minimum 2 years of experience in a medical office, ambulatory surgical center, or healthcare administrative role.
- Strong interpersonal and communication skills with the ability to maintain composure under pressure.
- Knowledge of insurance verification, billing processes, and patient registration workflows.
- Proficiency with electronic health records (EHR), scheduling software, and Microsoft Office Suite.
- Highly organized with strong attention to accuracy, timeliness, and follow-through.
