PT - Office Assistant
Salary:
$15.00 per hour
Summary of Function:
The International Student Services Office Assistant is predominantly responsible for providing day-to-day assistance for the international students’ services department. This position maintains a high standard of confidentiality and is fundamental in providing office support, student and staff support, and academic counsel. Assisting with social media connections, the International Student Services Office Assistant supports the development and implementation of co-curricular activities and services.
Typical Duties:
- Serves Students. The International Student Services Office Assistant assists in providing exemplary programs and services designed to enhance students’ success and the overall student experience. Providing administrative/clerical support, the International Services Office Assistant is responsible for documentation management, answering telephones, calendar management, overseeing social media accounts, copying, filing, distributing mail, running errands, processing facility work orders, program inventory, ordering office supplies, and updating bulletin boards.

Document Management & Student Compliance Support. The International Student Services Office Assistant assists with the overall International Student life cycle, including, but not limited to, reviewing application materials, verifying financial documents, scheduling advising appointments, supporting students with career exploration and social security applications, and supporting course registration and graduation applications.
In addition, the office assistant maintains electronic and physical student documentation in accordance with FERPA and institutional guidelines. Under department leadership, the office assistant supports the Coordinator of International Student Services with preparing, distributing, and collecting immigration-related documents (e.g., I-20s, DS-2019s, verification letters). - Communication & Outreach. The International Student Services Office Assistant drafts and distributes announcements, newsletters, and resource materials for international students. Maintains and updates the ISS office website, bulletin boards, and social media channels (if applicable). In addition, the Office Assistant supports the creation of informational materials, such as orientation packets, checklists, and event flyers.
- Campus & Community Liaison Support. The International Student Services Office Assistant coordinates referrals to campus departments, including housing, academic advising, health and wellness, and accessibility. In addition, the Office Assistant supports students navigating campus resources and understanding college procedures. Other duties include supporting outreach efforts to foster inclusion and understanding of international students' needs and serving as support staff and resource liaison for students, staff, and public entities.
- Event & Program Support. The International Student Services Office Assistant supports the planning and execution of international student orientations, workshops, cultural programs, and campus engagement activities. In addition, the office assistant supports event logistics, including registration, setup, materials preparation, technology support, and attendee check-in. The office assistant also supports the data collection and analysis of program feedback to support continuous improvement.
- Support and participate in strategic planning initiatives and perform other duties as assigned.
Required Qualifications:
- High School diploma or equivalent
- Experience in a high-volume work environment
- Two years of educational or professional work experience in office administrative procedures, including but not limited to answering telephones, calendar management, copying, filing, distribution of mail, and running errands

- Up to 19 Hours Per Week
- Work flexible schedule to meet the program, department, and/or institutional needs, which may include Fridays, nights, and/or weekends.

Work is performed in an open office environment with staff, students, and community contact and interruptions.
- Working environment may include various locations across the service district, with varying noise levels, indoor and/or outdoor locations as needed to support program, department, or institutional needs.

Travel:
- May be required to travel to other locations using various modes of private, commercial, or fleet transportation, and as needed to support program, department, and institutional needs.
