ICU Client Liaison Job Description

Our high-volume 24-hour Emergency Veterinary Hospital in Peoria, Arizona is looking for an experienced Veterinary Scribe to join our growing team!

About this position:

The goal of this position is to enhance the client and patient experience by creating smooth communication, transitions and expectations between the client and the doctor/technical teams and therefore allowing doctor/technicians to focus on the medical aspects of care.

Job Expectations:

· Familiarize yourself with the inpatient cases first thing in the morning- for each inpatient and client

· Determine the financial status of each hospitalized patient while inpatient doctors are in rounds

· Review and adjust all patient charges to ensure accuracy and capture of all charges.

· Ensure finances on inpatients are discussed and collected on a daily basis

· Find the doctors after rounds for a review of the cases and any tasks that can be completed (Ex.Fluffy’s owner can be called right away, please start a new estimate for Lucky, Spike and Chico)

· Call in any needed prescriptions

· Create/drop off interdepartmental consult forms etc

· Arrange and facilitate visits where they are allowed

· Starting medical record documentation as needed

· Position yourself near the doctors whom you will be working to be accessible

· Approach the doctors looking for ways in which you can help them

· Offer ICU clients a picture/video/facetime at least once every day

· Ensuring ICU Transfers are taken in a timely manner.

· Ensure clients are updated in a timely manner.

· If doctors are in rounds, give a minor update to the client and ensure Doctor returns client call in a timely manner.

· Ensures organized and efficient client/patient flow for the inpatient service and as time permits, the outpatient service

· Remain acutely aware of wait times for ICU clients on the phone, in person or at discharge and work to minimize

· Assist with resolving client needs, concerns, and/or complaints

· Concisely document pertinent client communications and advise the attending veterinarian of these communications (close the loop consistently and timely)

· Review and ensure records are complete. Finalize and send record daily to pDVM.

· Verif that ICU Doctors have called pDVM with update.

· Review discharge instructions with owners and discharge the patient as long as you feel comfortable (doesn’t have extensive instructions for SQF admin, insulin treatment, feeding tube etc)

· Familiarize yourself, as time permits, with the discharge format/canned discharges, the goal is to be able to start the discharges with a reasonable amount of certainty for what the template will be, additionally, inputting medications as directed by the doctor

· Check lab callbacks, consult with the doctor to determine results that can be called by you or identify the doctor that will call and place with a reminder note next to doctor’s workstation to call

· Callbacks need to be completed each day

· As time permits (once inpatient care is completed) assist the outpatient doctors

· Ensure initial TPRs are in records

· Ensure history forms have been completed by owners and are in the record/record started

· Ask to help them make estimates and call owners with estimate

· Drop off interdepartmental forms, double check labs have been submitted to outside labs or paperwork taken care of etc

· End of day rounds with mid CAs (separate from the outpatients rounds)

· On your last shift for the week, communicate (e-mail, phone call etc) with partnering ICUC about the ICU patients that are remaining in hospital and any loose ends that need attention

*Additional admin duties may be provided

Qualifications:

· Possesses superior written and verbal communication skills.

· Possesses superior organizational and multi-tasking skills.

· Demonstrates strong interdepartmental and team collaboration.

Compensation:

Commensurate with experience. Benefit package included medical, vision, dental, generous CE allowance, overtime, uniforms, 401K match, and PTO.

· To be determined based on hospital needs
