The Executive Administration (EA) Business Office supports executive-level units in a fast-paced, high-volume environment that values accuracy, compliance, collaboration, and exemplary customer service. The Assistant Director, Fiscal Business Operations reports to the Executive Director and leads a team of business operations professionals, providing oversight of fiscal, procurement, travel, and payroll functions. Ideal candidates will ensure accuracy, compliance, and customer service excellence in daily operations, oversee the EA Purchasing Card program, and develop policies and procedures to strengthen operational effectiveness. The role requires hands-on engagement in business processes, with an emphasis on team leadership, operational consistency, and continuous improvement.

- Supervise, mentor, and evaluate Business Operations professionals to ensure consistent delivery of high-quality fiscal and operational services.
- Assign workloads, monitor progress, and provide clear directions to staff managing accounts payable, procurement, travel, payroll, contracting, and related business functions.
- Provide coaching and professional development opportunities to strengthen staff knowledge of ASU systems, policies, and compliance requirements.
- Monitor work in progress, review completed tasks and implement corrective actions when necessary.
- Foster a culture of accountability, collaboration, and service excellence that reflects the mission of Executive Administration.
- Serve as a resource for staff in resolving complex or escalated issues related to business operations.
- Oversees and manages the EA Purchasing Card program, including issuance, transaction review and approval, reconciliation, monitoring, and ensuring compliance with university policy.
- Support units in processing procurement, travel, payroll, and contracting transactions, ensuring accuracy and compliance.
- Review and approve complex financial transactions within delegated authority.
- Assist with preparation, monitoring, and reconciliation of budgets to ensure expenditures align with unit needs and available resources.
- Maintain strong internal controls and ensure consistency of fiscal practices across EA units.
- Provide responsive, solutions-oriented support to senior leadership offices with accuracy, timeliness, and professionalism.
- Anticipate needs and streamline processes to reduce administrative burden and enhance the overall service experience.
- Build strong partnerships with leaders and staff through clear guidance, effective communication, and reliable follow-through.
- Promote a culture of service excellence, empowering staff to approach problem-solving with flexibility, accountability, and collaboration.
- Gather feedback and monitor practices to drive continuous improvement, efficiency, and compliance with university standards.
- Demonstrated leadership experience supervising and developing professional staff in a high-volume, detail-oriented environment.
- Knowledge of procurement, purchasing card management, travel, payroll, and operational compliance in a higher education or similarly complex setting.
- Experience with enterprise systems such as Workday (financials, HR), Concur/My ASU Trip, and ERA.
