Job Description

The ILP at the Sandra Day O'Connor College of Law seeks a dynamic, self-starter for the Administrative Assistant position. The successful candidate will provide office clerical and administrative support to the ILP Assistant Dean and the program Directors. This is a hybrid position. Remote work with 1-2 days physical presence.


Flexible Work Options

This position is based on-campus at ASU’s Downtown Campus. Scheduled hours are Monday through Friday, the team is currently offering flexible work arrangements in a hybrid structure.


Salary Range

$20.50 - 21.50 per hour; DOE

Essential Duties

The successful candidate will be responsible for and have duties in the following areas:

  • Prepare/generate correspondence, manuscripts, routine letters, memos, and transcribe notes.
  • Support calendar and scheduling for the ILP Assistant Dean.
  • Cross-train, work as a team, and be able to serve as backup for other team members as needed.
  • Review incoming correspondence, respond to routine inquiries, and direct the flow of correspondence as required.
  • Plan and arrange meetings and/or events, communicate arrangements to appropriate parties, greet guests, and create a welcoming environment
  • Arrange travel reservations and itineraries; anticipate and prepare background material as needed; complete travel documentation, including entering trips into the Concur Travel System to seek traveler reimbursement.
  • Office management including buying supplies, processing bills ensuring the smooth business operation of the Indian Legal Program.
  • Prepare special/recurring reports containing sensitive information.
  • Other duties as assigned that support the goals of the department/College of Law.


Minimum Qualifications

Four (4) years secretarial/administrative experience; OR, Certificate in Secretarial Science AND three (3) years of secretarial/administrative experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Demonstrated knowledge of standard office policies and practices
  • Knowledge or experience working with tribes and diverse populations
  • Experience in multitasking in a fast-paced team environment
  • Knowledge of appropriate software including – Microsoft Word, Excel, PowerPoint, and Outlook; Google Docs, Sheets, and Slides
  • Experience working with confidential information or files
  • Experience in making travel arrangements and reimbursements – knowledge of Concur Travel System a plus
  • Experience in situations that requires organization and attention to detail
  • Experience in supporting multiple people
  • Experience in a higher education environment
  • Experience with proper grammar usage, spelling, composition, punctuation, and proofreading
  • Evidence of effective written and verbal communications skills


Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting and required to stand for varying lengths of time and walk moderate distances to perform work—frequent bending, reaching, lifting, pushing, and pulling up to 25 pounds. Regular activities require the ability to quickly change priorities which may include and/or are subject to the resolution of conflicts. Ability to clearly communicate verbally, read, write, see and hear to perform essential functions. Use standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, and operating a mouse), printer, fax, calculator, copier, telephone, and associated computer/technology peripherals.
