Job Description

The Coordinator of Facilities Management is responsible for managing physical housing facilities, the agreement between Facilities Management and University Housing, and vendor relationships and performance. This position collaborates with cross functional leadership teams to provide support and facilities management expertise to University Housing at the Tempe campus and mentors student and professional staff working in the community. This position provides exceptional, proactive customer service to students and campus partners

Essential Duties

  • Serve as “Customer’s Representative” to advocate on behalf of and represent University Housing interests in cross departmental engagement, including Public-Private Partnerships (P3s) and other relationships
  • Conduct regular inspections of facilities, resolve maintenance issues, propose facility improvements, initiate repair requirements to maintain healthy, safe, and sustainable learning environment with consideration to budget and environmental constraints
  • Ensure successful completion of repair/preventive maintenance requirements, as well as resolution of trouble calls and escalations
  • Manage and coordinate the activities of contractors to ensure projects are completed within time, cost and quality constraints
  • Track work requests, insurance claim work, repair schedules, resident dislocation due to facility related issues
  • Oversee room turn readiness program; and/or coordinate with 3rd party vendor(s) to effectively project manage
  • Manage facility inspection program; and/or coordinate with 3rd party vendor(s) to effectively project manage
  • Coordinate room damage information between University Housing & Facilities staffs
  • Oversee furniture program: move coordination, inventory, condition and coordinates repairs as necessary
  • Provide guidance and direction to assigned student staff, including initial training & orientation; refresher training; performance feedback
  • Assist Director of Housing Facilities with: requirements prioritization; project management; purchasing and vendor administration
  • Implement policies and procedures in order to improve department’s operations
  • Be primary contact with Facilities Management locksmith and 3rd party vendor(s) (where applicable) for rekey requests

Days and Schedule: Monday – Friday, 8:00 am – 5:00 pm with extended hours as needed; this position serves as a resource to on call staff outside of typical business hours.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Evidence of related experience (5 years)
  • Evidence of effective verbal and written communication skills
  • Experience in multi-unit/multi-family housing in a campus environment or setting
  • Experience in providing explanation of residential services, policies, rules and regulations
  • Experience with residential management system (e.g., RMS, StarRez, YARDI)
  • Experience with computerized maintenance management systems (e.g., TMA)
  • Experience in budget management and financial reconciliation
  • Experience working in a higher education environment for at least two years
  • Experience with managing multiple projects and meeting deadlines under pressure in a fast paced environment
  • Experience in developing database queries and interpreting results
  • Experience with Microsoft Office applications (Word, Excel, Outlook, and Access)
  • Experience in work that requires organization and attention to detail
  • Experience in constructing and facilitating training for different levels of staff
  • Experience managing key tracking systems

Working Environment

  • Sit or stand for prolonged periods of time.
  • Use computers effectively including inputting, reviewing and retrieving information, extended periods of viewing screen, using mouse and keyboard, and sitting.
  • Position may work nights and weekends and travel to support duties and operational functions on all campuses.
  • Walk throughout campus for meetings or events, regardless of the weather conditions.
  • Lift up to 35 pounds.
  • Supervise staff and students.
  • Work collaboratively across various departments within the University as well as with diverse populations and groups.
  • Use critical thinking to make decisions and/or analyze data.
  • Communicate effectively both orally and in writing.
