What are the responsibilities and job description for the Receptionist/Administrative Assistant position at Arizona Culinary Institute?
Primary Responsibilities
- Welcome and assist students, guests, vendors, and visitors in a professional and courteous manner.
- Answer and route incoming telephone calls using a multi-line phone system.
- Respond to general inquiries by phone, email, and in person.
- Provide administrative support to Admissions, Education, Financial Aid, and administrative staff.
- Assist students with bookstore purchases and process transactions.
- Schedule and manage reservations for the student-operated restaurant.
- Receive, sort, and distribute incoming mail and deliveries.
- Maintain student, vendor, and institutional records while ensuring confidentiality.
- Prepare correspondence, reports, forms, and other documents.
- Perform data entry and maintain accurate electronic and paper filing systems.
- Order and maintain office and reception supplies.
- Assist with campus events, orientations, and special projects.
- Process incoming and outgoing mail and shipping.
- Keep the reception area and front office organized and professional.
- Perform general clerical duties including scanning, copying, filing, and document preparation.
- Provide excellent customer service to prospective students, current students, graduates, employers, and visitors.
- Perform other administrative duties as assigned.
Qualifications
- Minimum one year of receptionist, administrative assistant, or customer service experience preferred.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Ability to learn new software and database systems quickly.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks in a busy office environment.
- Professional appearance and positive attitude.
- Ability to work independently while collaborating effectively with a team.
Preferred Qualifications
- Experience working in a college, school, or professional office environment.
- Experience with scheduling, calendars, and office administration.
- Cash handling or point-of-sale experience is a plus.
