The Arizona Court of Appeals, Division One is accepting applications for a Legal Administrative Professional.

Position Summary

The Legal Administrative Professional provides high-level administrative, clerical, and organizational support to the Staff Attorney Office. The Legal Administrative Professional assists with legal document preparation, statistical report preparation, docket and case management workflow, tracking staff attorney workflow, case file management, and general office coordination. The Legal Administrative Professional also prepares document templates and edits and proofreads draft decisions and orders prepared by his or her assigned attorneys. The ideal candidate will have strong attention to detail, excellent oral and written communication skills, and the ability to handle confidential information with discretion.

Minimum Requirements

A high school diploma and a minimum of 2 years legal administrative or court related experience are required.

Essential Functions:

  • Perform a full range of legal administrative and secretarial duties supporting assigned attorneys and the ongoing operations of the office.
  • Answer multi-line telephone system and appropriately handle calls, routing and relaying messages.
  • Produce legal documents such as correspondence, memoranda, orders, and draft decisions from verbal or written instructions, dictation, notes, rough drafts, forms, or other materials.
  • Docket and track orders generated by assigned attorneys.
  • Obtain files and create captions for assigned attorneys’ cases.
  • Appropriately use e-mail to forward and distribute case materials and other documents.
  • Proofread prepared materials for correct grammar, spelling, punctuation, legal citation format, syntax, and content.
  • Prepare case notebooks and files.
  • Establish and maintain office files and reports regarding attorneys’ workload.
  • Schedule and maintain calendar of activities for assigned attorneys.
  • Other clerical and administrative duties assigned by the Chief Staff Attorney.

Minimum Education and Experience Requirements:

  • High school diploma
  • Two years legal administrative or court related experience

Required Knowledge, Skills, and Abilities:

  • Knowledge of court rules and procedures.
  • Advanced word processing/computer skills.
  • Ability to understand and follow moderately complex oral and written instructions and conform to performance standards.
  • Ability to communicate both orally and in writing.
  • Ability to establish and maintain working rapport with coworkers.
  • Ability to prioritize workload and perform accurate and concise legal administrative and secretarial work.

Physical Requirements, Reasoning Ability, and Equipment Operations*:

  • Ability to apply common sense understanding to carry out oral or written instructions.
  • Ability to deal with problems involving several variables in standardized situations.
  • Extended use of a computer is required.
  • Ability to read, scan, complete, and analyze a variety of forms on a regular basis.

Work Environment:

While performing the essential functions of this job, the employee will encounter a typical office setting with frequent contact with other staff attorneys, administrative staff, judges, and judicial staff. The noise level in the work environment is usually quiet to moderate.

Supervisory Responsibility

This position has no direct supervisory responsibility.
