Position Summary:
The Representative Payee Compliance Coordinator oversees the organization's compliance with SSA representative payee requirements and manages the beneficiary-facing and program-administration side of the representative payee function. This role owns SSA reporting and audits, policy and procedure development, new-participant onboarding, and serves as the primary point of contact for SSA, case managers, guardians, and other stakeholders. This position coordinates with the accounting team to process day-to-day transactions or disbursements, and other bookkeeping work.

Compliance & Reporting
- Ensure organizational compliance with SSA representative payee rules, policies, and reporting requirements.
- Oversee preparation and submission of required SSA reports, including annual accountings and notifications of beneficiary changes.
- Establish and maintain internal controls and procedures aligned with SSA's Guide for Organizational Representative Payees.
- Identify, investigate, and address compliance risks; respond appropriately to any suspected misuse of funds, in coordination with Finance.
- Report any significant changes in a beneficiary's circumstances that could affect eligibility or benefit amounts (address changes, medical updates, legal issues) promptly to SSA.
Participant Onboarding & Payee Transition Management
- Coordinate all Organizational Representative Payee enrollment activities for new beneficiaries.
- Ensure completion and submission of required SSA Representative Payee applications and supporting documentation.
- Serve as liaison between beneficiaries, families, guardians, Agency Service Coordinators, and SSA representatives during onboarding.
- Schedule and track SSA interviews and follow through until representative payee status is established.
- Monitor benefit transitions to ensure funds are redirected accurately and on time; investigate and resolve onboarding or payment interruptions.
- Maintain documentation and records related to enrollment, transition activities, and SSA approvals.
Program Administration & Stakeholder Coordination
- Develop, document, and update policies and procedures for the representative payee program.
- Provide guidance and program-level oversight to staff performing transactional or bookkeeping functions.
- Coordinate with auditors, SSA representatives, and internal leadership regarding program operations.
- Serve as a primary point of contact for SSA, vendors, case managers, and other stakeholders.
- Respond to questions from case managers, caregivers, and beneficiaries regarding program policy and fund usage.
Perform other duties or special projects as required or assigned.
Qualifications:
- Experience with financial or case management systems preferred
- Bachelor's degree in human services, business administration, social work, or related field, or equivalent combination of education and experience.
- 2-3 years of experience in benefits administration, social services, compliance, or program coordination. Knowledge of Medicaid billing is a plus.
- Strong customer service focus
- Strong knowledge of SSA representative payee rules and compliance requirements preferred.
- Demonstrated ability to exercise independent judgment in policy interpretation, compliance risk assessment, and stakeholder management.
- Proficiency in Microsoft Office suite.
- Strong verbal and written communication skills.
- Ability to maintain confidentiality and work with people at all levels of the organization.
- Ability to prioritize and multi-task in a fast-paced environment while remaining highly organized and detail-oriented.
