Key Responsibilities:
CEO Support
- Serve as Executive Assistant to the CEO, managing her calendar, scheduling, and prioritization.
- Coordinate domestic and international travel, meeting logistics, and executive expenses
- Prepare presentations, agendas, and talking points.
- Prepare meeting minutes
- Adherence to the Code of Conduct and Corporate Compliance Program
- Perform other duties as assigned.
- Coordinate calendars, meetings, for the Executive Leadership Team
- Coordinate travel, lodging and meals
- Organize and support client visits for North Carolina and Florida offices
- Organize and support quarterly workshops.
- Organize and support special events
- Track action items, decisions, and follow‑ups to ensure accountability and execution
- Manage executive communications, including emails, calls, and requests
- Draft, edit, and format executive communications and leadership correspondence
- Communicate with senior leaders, employees, and clients with professionalism and discretion
- Assist with planning and execution of company‑wide initiatives, events, and communications
- Maintain highly organized records, files, and documentation related to executives
- Continuously improving administrative processes to enhance executive efficiency
- Handle sensitive, confidential, and time‑critical information with the highest level of integrity
- Exercise sound judgment, discretion, and business acumen in all interactions
Required Qualifications
- Bachelor’s degree or equivalent professional experience
- 7 years of experience providing high‑level support to CEO or C‑suite executives
- Demonstrated experience supporting executive leadership teams or boards
- Advanced proficiency in Microsoft 365 (Outlook, Word, PowerPoint, Excel, Teams)
- Exceptional organizational, prioritization, and problem‑solving skills
- Strong written, verbal, and interpersonal communication skills
- Experience in a complex, fast‑paced, professional environment
- Previous exposure to board of directors, client relations, and executive communications
- Ability to operate with minimal direction and supervision
- Background supporting professionalism.
