ROLE PURPOSE
Under the direction of the President/CEO (CEO), the Executive Administrator will provide confidential, professional, administrative support that includes a wide range of administrative duties to be handled with confidentiality and discretion. Responsible for providing internal and external support services, requiring a knowledge of Credit Union operations, policies, and regulations. The ideal candidate will have experience working with senior management, and an ability to self-manage with limited oversight and guidance. The role will require the ideal candidate to have a strong work ethic, high attention to detail, and excellent communication skills. The ability to prioritize various high-level client interactions is desired.
ESSENTIAL DUTIES & RESPONSIBILITIES
1. Provide administrative executive duties involving a high degree of accuracy, confidentiality, discretion, and independent judgment, supporting CEO and Board.
2. Work in close liaison with senior management team providing professional and timely assistance to members, volunteers, staff, business partners, and community representatives.
3. Serve as administrative support for monthly Board meetings and Board special meetings as directed by Chairman and CEO.
4. Attend Board, Committee and special meetings as directed by CEO and prepare and finalize accurate Minutes using Roberts Rules of Order format.
5. Responsible for maintaining and safeguarding Board business, including Agendas, Minutes, Policies, and Committee action. Maintain and update Record Retention Policy as needed.
6. Assist CEO and Board with official business travel arrangements as needed.
7. Serve as a professional point of contact to outside stakeholders including external auditors, examiners and third-party vendors as directed by CEO.
8. Provide a high level of administrative support for business loan file management as directed by CEO.
9. Assists the CEO with special meeting projects and event management as needed including strategic planning sessions, employee meetings, and other business events.
10. Perform official communication requests as directed by CEO including developing/editing presentations as requested.
11. Maintain awareness of Credit Union business practices, strategic plans, and internal processes to effectively support CEO and Board.
12. Perform other projects and duties as assigned.
