You’ll Love This Role
As a Project Supervisor, you’ll be a key driver behind Arena’s on‑site success. You’ll help turn plans into reality by coordinating schedules, crews, materials, and logistics to deliver safe, high‑quality event installations. This is a highly visible role ideal for someone who enjoys problem‑solving in real time, working cross‑functionally, and taking pride in seeing complex builds come together.

How You’ll Support the Structure
You’ll support projects from early planning through final handoff, ensuring details, people, and timelines align.

Scheduling & Planning
  • Create and maintain production schedules in Smartsheet for assigned projects
  • Develop and update shipping schedules to support timely deliveries
  • Maintain project trackers to ensure critical dates and milestones remain accurate
  • Create action logs for larger or more complex projects with clear, time‑sensitive milestones
Financial & Administrative Support
  • Complete Job Profitability Estimates (JPEs) prior to installation
  • Ensure project budgets align with approved JPEs and annual budgets
  • Update weekly financial reviews and proactively communicate negative variances
  • Review assigned jobs in NAV prior to month‑end close
  • Ensure purchase orders are created for expenses not processed via company credit card
  • Submit and reconcile weekly credit card expense reports
Safety & Compliance
  • Verify daily toolbox talks are conducted by crew leads
  • Ensure required job‑specific PPE is available and in use
  • Confirm site safety checklists are completed by designated personnel
  • Ensure accidents and near‑misses are documented and reported promptly
  • Conduct job site inspections to confirm safety standards are met
Operational Coordination
  • Collaborate with Account Managers, Inventory, and Warehouse teams on ticket entry and job splits
  • Partner with Sales and Account Managers to address scope changes or billable damages
  • Schedule and lead project kickoff meetings
  • Coordinate with the Project Management Coordinator on JPE development
  • Create “Tools‑Needed” tickets in Alert for upcoming jobs
  • Work with Inventory teams to resolve shortages or overbookings
  • Conduct inventory spot checks on job sites as needed
  • Order scaffolding and concrete ballasts when required
  • Communicate daily benchmarks and schedule adjustments with site managers and crew leads
  • Partner with Logistics to resolve staffing shortages or contractor challenges
Customer Delivery & Quality Control
  • Communicate client expectations clearly to field crews
  • Inspect installations throughout the build to ensure Arena quality standards are met
  • Provide feedback to Logistics and Leadership on crew performance and support needs
  • Serve as the final quality checkpoint to ensure products are client‑ready and rental‑ready
  • Conduct final client walkthroughs and support official project handoff

The Foundation You Already Have
We’re looking for someone who brings organization, field awareness, and a collaborative mindset.
  • High school diploma, GED, or equivalent work experience
  • Experience supporting projects in events, operations, or related industries
  • Strong organizational skills with the ability to manage multiple priorities
  • Working knowledge of schedules, logistics, and on‑site coordination
  • Ability to read and understand basic diagrams, floor plans, and layouts
  • Familiarity with structure types, sizes, and proper installation practices
  • Comfort working in fast‑paced, deadline‑driven environments
  • Strong communication and teamwork skills
  • Willingness and ability to travel 75% or more of the time

Bonus Points If You Have These
These aren’t required, but they can help you ramp up faster and expand your impact.
  • Previous experience in the events industry
  • Familiarity with Arena products, structures, or temporary environments
  • Bilingual in Spanish
