Job Brief: ACES is seeking a reliable, organized, and professional Office Clerk to support daily operations in the Internal Pupil Services Department. This position requires strong communication skills, attention to detail, and the ability to manage multiple responsibilities in an educational environment.
Duties and Responsibilities
Answer phones, direct calls, and ensure accurate message delivery.
Greet and assist visitors in a courteous and professional manner.
Complete general clerical tasks such as filing, photocopying, distributing mail, and data entry.
Maintain adequate office supplies and coordinate purchase orders.
Coordinate meeting logistics, including scheduling and confirming attendance.
Maintain confidentiality in handling sensitive student, staff, or operational information.
Organization and scheduling of agency-based pupil services professional learning for nursing department and related services (room reservations, conference scheduling, hotel/airfare, reimbursements as necessary).
General oversight and supported communication with building administrators related to state compliance tasks (restraint and seclusion tracking, testing accommodations, intake and enrollment processes, etc.).
Oversight of Nursing License tracking (notifications of expiration, support with documentation)
Assisting Nurse supervisor with Supply maintenance: Checking in supply orders, organizing receipt of supplies and distribution to agency programs.
Occasionally assisting in buildings with School Health Office clerical tasks
Knowledge of:
Microsoft Office Suite (Excel, Word, Outlook), Microsoft Sharepoint,, and internal platforms (e.g., Interfaces, PowerSchool).
Experience preferred but not required: CTSEDS
Basic office and clerical procedures, including familiarity with MUNIS
Purchase order and supply request systems.
Build and maintain positive working relationships across departments.
Travel locally (to different agency schools/programs) on occasion
Physical Demands
This position involves a combination of sedentary work and movement around the building. Occasional bending and lifting (e.g., files, paper supplies) is required. The employee must be able to communicate effectively in person and over the phone.
Work Environment
Low to moderate noise level typical of a school or office environment.
Fast-paced work setting with occasional deadlines and time constraints.
