Position Overview:
As Payroll Specialist at Arcserve, you will play a critical role in executing payroll processes for our global employees. The Payroll Specialist will handle a variety of tasks related to processing semimonthly payrolls, corporate benefits administration, and other duties as requested.
This role requires excellent attention to detail, strong organizational skills, and the ability to move seamlessly between administrative tasks, payroll systems, and employee-facing work. You will work under the guidance of Global Payroll Manager to provide a positive employee experience in a fast-evolving organization.
Key Responsibilities:
Payroll Processing
- Process andvalidatesemimonthlyand monthlypayrollsin ADP Workforce Now and other similar systems inan accurateandtimelymanner.
- Handle special payments,off-cycle adjustmentsand variable payments, including garnishments, expense reimbursements, and commissions.
- Performs various journal entries, account reconciliations, and work with the Finance team on payroll related matters.
- Completion ofmonthlypayrollclose duties and distribution ofperiodic reporting.
- Assistwith year-end payroll activities.
- Supporttimelyfunding of global taxes and benefits – (e.g., 401k, FSA, and HSA contributions, global statutory/non-statutorytaxesandbenefits.).
- Respond to information requests from internal and external customers.
- Ensure systems are set up and updated to reflect the current employee base including company issued details such as cost centers, approving managers and approval matrix.
- Ensure system is set up and maintained to meet federal, state and local tax requirements.
- Coordinate with payroll service providers and third-party vendors as needed.
Administration and Compliance
- Enter and maintain accurate employee data in HRIS systems, ensuring data integrity and timeliness.
- Generate reports and assist with data audits to support compliance, payroll, and leadership reporting needs.
- Coordinates and performs audits of payroll system details on a monthly and quarterly basis.
- Prepares and distributes weekly, monthly,quarterlyand year-end reports as necessary for each reporting company.
- Serve as a point of contact for routine HRIS questions, escalating system or process issues as needed.
- Stay current with federal andstatepayroll laws, including tax withholding, wage and hour laws, and state/country-specific regulations.
HRIS & HR Administration
- Serve as a point of contact for routine HRIS questions, escalating system or process issues as needed.
- Addemployee documentationto ADP personnel file, including offer letters, contracts, policy acknowledgments, and personnel files, ensuring confidentiality and compliance with applicable regulations.
- Assistwith recruitment efforts by posting andmaintainingjob ads and coordinating with hiring managers about progress, roadblocks, and suggestions to improve
Team Collaboration
- Provide administrative support to payroll and HR colleagues, contributing to smooth team operations.
- Assist in developing and improving payroll templates, forms, and processes to increase efficiency.
- Collaborate with the Human Resources department to implement system enhancements and ensure proper integration.
- Demonstrate exceptional personal organization and prioritization to ensure tasks are completed accurately and on time.
Qualifications:
- FPC, CPP or equivalent experience preferred.
- Minimum of 3-5 years of multi-state and global payroll processing experience.
- Experience in ADP Workforce Now required.
- Comfort with data entry, reporting, and navigation within HR systems; attention to accuracy and detail.
- Professional, clear, and confident communication with employees, candidates, and managers.
- Strong judgment and discretion in handling sensitive employee and candidate information.
- Collaborative mindset with willingness to support colleagues across payroll functions.
- Demonstrated organizational skills, ability to meet deadlines and work independently with minimal supervision.
- Experience in fast-paced administration or client-service environments a plus.
- High level of proficiency with Excel and comfortable learning new technology systems as needed
- Excellent communication, interpersonal, and decision-making skills.
