Job Title: Member Relations Coordinator Department: Membership / Administration Reports To: General Manager FLSA Status: Non-Exempt Location: Weymouth Country Club – Medina, OH Position Summary The Member Relations Coordinator serves as a key ambassador of Weymouth Country Club, delivering exceptional service while supporting the day-to-day operations of the Membership Office. This role is focused on fostering positive, professional relationships with members, assisting with communication and engagement initiatives, and ensuring accurate membership records. The ideal candidate is organized, personable, detail-oriented, and passionate about creating a welcoming, high-touch club experience. Essential Duties and Responsibilities Member Engagement & Service Serve as a primary point of contact for members, providing prompt, courteous, and professional assistance in person, by phone, and via email Greet members and guests warmly, reinforcing a culture of hospitality and service excellence Respond to member inquiries, requests, and concerns, escalating issues as appropriate to leadership Support member satisfaction and retention through proactive communication and follow-up Membership Administration Maintain accurate and up-to-date membership records within club systems Assist with the processing of new member applications, onboarding, and orientation materials Support membership billing, documentation, and status changes as directed Prepare routine membership reports and correspondence Communication & Event Support Assist with member communications including emails, newsletters, signage, and announcements Coordinate mailings and digital communications related to club events and initiatives Support member events, orientations, and club functions as needed, including occasional evenings or weekends Office & Administrative Support Support general administrative functions including filing, scheduling, and document management Collaborate with other departments to ensure seamless member experiences Maintain confidentiality of member information and club business Qualifications Education & Experience High school diploma or equivalent required; college coursework preferred 1–3 years of administrative, hospitality, customer service, or member-facing experience preferred Experience in a private club, hospitality, or service-focused environment is a plus Skills & Competencies Outstanding interpersonal and communication skills Strong organizational skills with high attention to detail Professional demeanor with a service-oriented mindset Proficiency in Microsoft Office (Outlook, Word, Excel) Ability to learn club management and membership systems Ability to multitask, prioritize, and remain calm in a fast-paced environment Physical & Work Requirements Ability to sit or stand for extended periods Occasional lifting up to 25 lbs Ability to work flexible hours as needed, including occasional evenings or weekends for member events Why Join Weymouth Country Club Weymouth Country Club offers a dynamic, hospitality-driven work environment focused on delivering exceptional experiences to our members and guests.
