Schedule: 8 hours Monday - Friday
Job Summary:
The HR Coordinator is responsible for providing administrative and operational support to the Human Resources department, ensuring the accurate management of employee records, compliance processes, and HR data entry systems. This role assists with recruitment, onboarding, benefits administration, and credentialing while supporting day-to-day employee inquiries. Working closely with the HR Manager and Training Officer, the HR Coordinator helps maintain compliance, streamline HR processes, and promote a positive employee experience.
Essential Functions:
- Entering data in HRIS systems and filing the influx of personnel file documents.
- Support the administration of employee benefits programs by sending log in links, walking employees through enrollment, and sending updates to payroll for payroll deductions.
- Coordinate with payroll and communicate with employees regarding various wage garnishments.
- Support talent acquisition through candidate sourcing, reference checks, and coordination of hiring processes.
- Manage background checks for GEO, Napa, and general new hires.
- Coordinate credentialing and re-credentialing processes for Napa, PHC, and Lake County.
- Maintain personnel files by filing weekly documentation accurately and timely.
- Facilitate onboarding and exit processes, including data entry and record updates.
- Perform monthly roster audits to ensure compliance and accuracy.
- Track employee orientation attendance and completion.
- Assist with HR and compliance audit preparation and task execution.
- Handle and route confidential correspondence from agencies such as Unemployment Insurance, State Disability, Child Support Services, attorneys, and withholding orders.Maintain HR databases, ensuring employee records are accurate and up to date.
- Generate routine HR reports for management review.
- Support employee relations by responding to basic HR questions and directing staff to appropriate resources.
- Assist the HR Manager with policy implementation and communication.
- Partner with the Training Officer to track training attendance and certification renewals.
- Coordinate employee recognition activities and support engagement initiatives.Provide general administrative support to the HR department, including scheduling, correspondence, and document preparation.
Knowledge, Skills, & Experience:
- Knowledge of HR practices, employment laws, and compliance requirements.
- Familiarity with benefits administration, credentialing, and background check processes.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Attention to detail and accuracy in data entry, recordkeeping, and document management.
- Proficiency with HRIS systems, Google Workspace, applicant tracking systems, & data entry.
- Strong written and verbal communication skills for interaction with staff, management, and external agencies.
- Ability to handle confidential and sensitive information with discretion.
- Experience supporting recruitment, onboarding, and employee lifecycle activities.
- Problem-solving skills with the ability to identify issues and escalate appropriately.
- Experience working in a healthcare, behavioral health, or compliance-driven environment (preferred).
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field (preferred but not required).
- Bachelor's Degree in HR Management, Business Administration, Similar or 1–3 years of human resources or administrative experience in a professional setting.
- Valid Identification Card
- Ability to life 50 pounds
- CPR First Aid Certified
- Negative or noncommunicable TB test
