The Practice Manager is responsible for the administrative, operational, and financial management of Arches' primary care practices. This role ensures the office runs efficiently, delivers high-quality patient care, and maintains regulatory compliance.
The Practice Manager serves as the primary point of contact for the practice, working collaboratively with and taking direction from corporate and functional leadership including responsibility for consistent and open communication with colleagues.
Key Responsibilities
Operational Management
- Oversees daily operations of their respective primary care office/s, ensuring smooth workflow and minimal patient wait times.
- Manages scheduling, staffing, and patient flow.
- Maintains office policies, procedures, and standard operating guidelines.
- Coordinates facility maintenance, supplies, and vendor relationships.
- Collaborates with centralized operational teams to improve practice performance
- Responsible for activities that drive outcomes across key practice performance domains: growth, access, revenue, value-based care and operational efficiency
- Balances the provision of daily staff support with leadership responsibilities
- Collaborates with Arches leadership and other Practice Managers in the adoption of new technology, standardization, and efficiency improvements
- Participates and/or lead ad hoc corporate projects
Staff Leadership & HR
- Assists in recruiting and hiring in practice support staff.
- Trains and supervises office support staff.
- Manages staff performance and adherence to Arches policy, federal and state compliance rules, and professional standards
- Conducts performance evaluations, sets expectations, and addresses staff concerns.
- Fosters a positive, team-oriented workplace culture focused on patient satisfaction and staff accountability.
- Creates and maintain open and positive relationships and frequent management communication with providers;
- Collaborates with Arches Medical Directors on provider financial and clinical performance and alerts senior clinical leadership of provider-related issues.
- Manages and brings quick resolution to any staff/provider issues.
Financial & Revenue Cycle Management
- Accountable for practice financial performance, including the mentoring and management of expenses, staffing efficiency, and revenue optimization
- Oversees effective patient registration and scheduling, and insurance verification processes.
- Maximizes co-payment and patient outstanding balances collections;
- Supports coding, queries, and claims question follow-up
- Collaborates with financial and revenue cycle leadership to reduce denials, optimize reimbursement, and maintain accurate financial reporting.
- Analyzes practice metrics and implement improvements.
Patient Experience & Service Excellence
- Ensures high patient satisfaction through quality service, accessibility, and professionalism.
- Addresses patient concerns or complaints in a timely, solution-oriented manner.
- Implements systems to improve communication, care coordination, and overall patient experience.
Compliance & Quality Assurance
- Ensures their practice complies with all federal, state, and payer regulations.
- Oversees the maintenance of medical and compliance records.
- Supports quality improvement initiatives and value-based care programs
- Prepares for audits, inspections, and certifications as needed.
- Helps implement and manage Arches-wide compliance and training programs.
Technology & EMR Management
- Serves as the practice-level lead for EMR workflow adoption and operational efficiency
- Trains staff on software updates and best practices.
- Partners with the EMR/IT team to address technical issues and workflow improvements.
- Utilizes data reporting tools for scheduling, billing, and clinical quality measures.
- Coordinates with EMR and IT manager

Qualifications and Experience:
- Bachelor’s degree in healthcare administration, business, or related field, or equivalent combination of education and experience.
- Experience managing operations in a medical practice, with primary care experience preferred.
- Working knowledge of medical billing, coding, and insurance processes.
- Experience using EMR systems and basic IT troubleshooting.
- Familiarity with value-based care models, population health initiatives, and care coordination.
- Experience with budgeting and financial analysis in a healthcare setting.
