Essential Job Functions
Athletics & Activities Operations Management
- Greet and assist parents, students, faculty/staff, and guests in the office in a welcoming and professional manner.
- Coordinate and support the day-to-day operations of the Athletics and Activities departments in collaboration with the Athletic Director and Vice Principal of Student Activities.
- Coordinate all student transportation logistics, including scheduling, vendor/charter communication, trip requests, dismissals, and communicate bus transportation with the facilities staff member in charge of buses for athletics and activities events.
- Maintain department websites and digital resources, ensuring accurate and timely information for students, families, coaches, moderators, and community members.
- Manage and maintain the school's master event and facility calendar and scheduling process.
- Oversee student eligibility processes for athletics and extracurricular activities, including attendance monitoring and academic grade verification.
- Manage department supply inventories and coordinate purchasing and distribution of materials as needed.
- Oversee practice and game scheduling for all athletic programs, coordinating facility usage, transportation, officials, and stakeholder communications
- Oversee the administration and coding of all athletics and activities programs, analyzing participation and operational data to develop high-level summaries, reports, and recommendations that support departmental planning and decision-making.
- Maintain faculty, staff, student, and coach identification badge inventory, including issuance and replacement.
- Lead logistical planning and execution of major athletics and student life events, ensuring a high-quality experience for participants and guests.
- Lead Coordinator for the Grandparents Reception, Graduation, and Hall of Fame Events
- Coordinate Senior Night celebrations, athletic signing ceremonies, state tournament travel, end-of-season recognition programs, and other events.
- Support schoolwide events, including orientation, Community Period activities, and other special programs.
- Coordinate schoolwide photography services and related logistics for student activities, class groups, Media Days, and graduation.
- Assist with Performing and Fine Arts productions, including logistical coordination, ticket distribution, and contract collection.
- Manage facility scheduling and coordinate the use of campus spaces by internal and external groups.
- Coordinate student recognition initiatives, including Student of the Month, athletic awards, extracurricular awards, and certificate programs.
- Coordinate and support the Buddy Program
- Develop seasonal programs, publications, and recognition materials that celebrate student achievement and participation.
- Manage department communications to students, families, coaches, moderators, and staff, ensuring timely and accurate dissemination of information.
- Prepare and distribute weekly communications, including newsletters, event updates, and family resources.
- Coordinate event registrations, online ticketing systems, guest approvals, and related participant communications.
- Process reimbursement requests and financial documentation for coaches, moderators, and department programs.
- Coordinate student registration processes for athletics and extracurricular activities.
- Maintain records, inventories, schedules, certificates, and operational documentation supporting department functions.
- Serve as the designated administrator-on-duty for evening, weekend, or off-campus athletics or activities as assigned by supervisor approximately one night most weeks, ensuring student safety, adherence to school policies, and successful event execution.
- Provide administrative and operational support to the Athletic Director and Vice Principal of Student Activities in advancing departmental goals and initiatives.
- Support cross-departmental projects that enhance student life, school spirit, and community engagement.
- Perform other duties as assigned.

- Current Hourly Rate Range: $28.07- $34.31 Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, degrees, and certifications.
