The Assistant Director serves to assist the Director of Music Ministry in many ways to develop.
a comprehensive music program that embodies the principles of the parish's vision and mission
ensuring music, in all its forms, is presented with the highest quality. This is a full-time, exempt-level position
that reports directly to the Director, Music Ministry.
KEY RESPONSIBILITIES:
General:
Collaborate closely with the Director of Music, music ministry members, and others involved in the music
ministry, including but not limited to organizing music rehearsals, ensuring
music sheets and other materials are correct and available, and instruments are available to support weekly
liturgies, special liturgies, and events.
Effectively engage in planning and organization decisions and plans for the music ministry working in
collaboration and support of the Music Ministry Director. Work closely with the Music Ministry Director to
implement various strategies and programs designed to enhance the ministry.
Maintain Planning Center: Effectively use this software by uploading new songs, making sure keys, time
signatures, tempos are correct, and by making sure schedules are secure with cantors and accompanists for
each mass time. This requires a strong knowledge and familiarity with the software.
Assist in the acquisition of lead sheets, sheet music, choral arrangements, new
songs, and psalms in their proper keys, and uploading them to Planning Center, or delivering them to the
Music Admin for upload.
Assist in maintaining the database and files of choral, orchestral, and ensemble music.
Assist the Director of Music in coordinating music for weddings, funerals, baptisms, Holy Days of Obligation,
and other dedicated events.
Regularly assigned to perform music at funerals.
Work closely with the Wedding Coordinator and couples on music selections and decisions for upcoming
weddings.
Maintain licensing for various music subscriptions and publishers and work with Music Admin to ensure
reporting for song usage is done on a required monthly or annual basis.
Keep hours relative to other music department personnel to encourage cooperation and open communication
between the Director of Music, Music Ministry Administrator, and AV Engineer.
Check in with the Music Director daily and participate as part of a collaborative Parish team, assisting where
needed. Regular communication on all things is vital, especially decisions regarding music selections and
personnel scheduling.
Attend music ministry and other parish-related meetings as requested. Specifically, a weekly music ministry
team meeting to evaluate the previous weekend’s liturgies and plan for the upcoming weekend.
Be a leader in both service and spirit, ending each rehearsal with prayer, and being available and
compassionate to music volunteers for ongoing music and spiritual needs.
Adult Choir:
Coordinate choirs, and, at times, direct musicians at various liturgies and celebrations.

Work with the Music Director to prepare choral music - ensuring correct keys, matching sheet music, and
charts in both digital and printed form.
Assist the Director of Music in the training and orientation of new members of the ministry by delivering their
contact information to Music Admin for data entry.
Use Planning Center software for all correspondence with the choir. Consult with the Director of Music before
distributing.
Children’s Choir:
Provide directions and accompany the children's choir in rehearsals and liturgical services.
Communicate with Children’s Choir Adult Volunteers to ensure rehearsal times and mass times are planned in
advance.
Work with Children’s Choir Adult Volunteers to inform parents regarding all choir events.
Work with Children’s Choir Adult Volunteers to ensure music is distributed and organized, binders are made,
and children have ample instruction.
Musicians and Volunteers:
Assist the Music Director in recruiting and auditioning new singers, musicians, and AV volunteers.
Work with the Music Director to train new singers, musicians, and volunteers for appropriate liturgical practices.
Work with the Music Director and Music Ministry Admin to find or create sheet music for various
instrumentalists including, but not limited to piano, organ, guitar, strings, horns, bass, and drums.
Experiences and Competencies:
Must be a member of the Catholic Church in good standing.
Undergraduate degree in music with a preference on sacred church music.
Minimum of three years of professional experience in music ministry with familiarity of Catholic
liturgical rites and principles.
Experience supervising a church choir, leading rehearsals, and conducting choirs required.
High level of proficiency in piano and organ keyboard skills. Proficiency in other instruments a
plus.
Knowledge of church music literature in all forms and styles for multiple segments of the
congregation including choirs, children, vocalists, and instrumentalists.
Knowledgeable of traditional and contemporary Catholic music.
Must have excellent communications and people skills.
Must have at least an intermediate level of computer skills knowledgeable of Excel, Word, PowerPoint, and
various music-related software. Familiarity with Planning Center software preferred. Familiarity with Finale and
Sibeilus notation software preferred.
Able to work independently with limited supervision, multi-task, and deadline oriented.
Must be Safe Environment compliance training certified.
