JOB TITLE: Benefit Coordinator
SUMMARY
The Benefit Coordinator administers and coordinates the Company's employee benefit programs and provides administrative support to the Human Resources and Payroll departments. This position serves as a primary point of contact for employee benefit inquiries, assists with benefit administration, works with a variety of vendors and brokers, ensures accurate processing of benefit-related transactions, and supports compliance with applicable laws and company policies.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Administers the Company's employee benefit programs, including medical, dental, vision, prescription, life insurance, disability, retirement, and other benefit offerings.
- Coordinates benefit enrollments, qualifying life event changes, terminations, COBRA administration, and annual open enrollment activities.
- Assists in reviewing the competitiveness of employee benefit programs by gathering market data, industry trends, and benchmarking information.
- Monitors benefit trends, legislative changes, and best practices, and provides information and recommendations to support benefit program evaluations.
- Assists with the evaluation and implementation of benefit program changes to support organizational goals and employee needs.
- Serves as the primary point of contact for employee benefit questions and assists employees in understanding available benefit programs and enrollment procedures.
- Maintains accurate benefit records within the HRIS and ensures timely processing of employee benefit transactions.
- Processes benefit invoices, reconciles billing discrepancies, and works with vendors to resolve issues.
- Assists with preparation and submission of required benefit-related reports and filings, including Form 5500 support and other internal or external reporting requirements.
- Coordinates with benefit providers, brokers, and third-party administrators to ensure timely and accurate administration of benefit programs.
- Prepares employee communication materials, benefit guides, and enrollment information for distribution.
- Monitors benefit-related documentation to help ensure compliance with applicable federal and state regulations.
- Maintains confidentiality of employee records and sensitive information.
- Provides administrative support to the Human Resources department, including assisting with HR projects, reporting, personnel records, and other HR initiatives as assigned.
- Provides support to the Payroll department by assisting with benefit deductions, payroll-related benefit changes, audits, reconciliations, and serving as backup for designated payroll functions as needed.
- Assists with HR and payroll audits by gathering and organizing requested documentation.
- Performs other related duties as assigned.

- Working knowledge of employee benefit administration and applicable federal and state regulations.
- Understanding of HRIS systems and benefit administration processes.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Excellent interpersonal and customer service skills with the ability to communicate effectively with employees at all levels of the organization.
- Ability to handle confidential information with professionalism and discretion.
- Strong computer skills, including Microsoft Office and/or Google Workspace.
- Ability to prioritize multiple tasks, meet deadlines, and adapt to changing priorities.
- Strong analytical and problem-solving skills.
- Ability to work independently while also collaborating effectively with HR, Payroll, managers, employees, vendors, and benefit providers.
EDUCATION AND WORK EXPERIENCE
- Associate's or Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field preferred.
- Two or more years of experience in employee benefits.
- Experience with HRIS systems and benefit administration preferred.
- Manufacturing or distribution environment experience preferred.
- An equivalent combination of education, training, and experience will be considered.
