We’re looking for a friendly, organized, and reliable Summer Reception & Administrative Assistant to be a friendly and professional voice and face for ArborTech and our associated brands!
If you’re great at juggling phone calls, emails, and office tasks, all while keeping things running smoothly, we’d love to have you on board. You’ll be a go-to person for customers, helping them connect with the right team while keeping our office in top shape. What You'll Do
Reception Duties:
- Answer and direct phone calls professionally and efficiently.
- Greet visitors, clients, and vendors, ensuring a welcoming office environment.
- Manage incoming and outgoing mail, packages, and deliveries.
Customer & Client Communication:
- Respond to customer inquiries via phone and email.
- Provide basic information about company services and direct inquiries to the appropriate team members.
- Schedule appointments and coordinate meetings as needed.
Administrative Support:
- Enter and update customer and lead information into the CRM system.
- Organize and maintain office files, documents, and records.
- Order and restock office supplies as needed.
General Office Duties:
- Maintain a clean and organized front office area.
- Support other administrative staff with tasks and projects as assigned.
- Coordinate office maintenance requests and vendor visits.
What You'll Need
- High school diploma or equivalent (Associate's or Bachelor's degree welcomed).
- Proven experience in a customer service or administrative role, preferably in a professional office environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Proficiency with, or the ability to become proficient with Aspire CRM within 90 days
- Strong communication skills, both verbal and written.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Professional demeanor with excellent interpersonal skills.
- Ability to handle sensitive client information with confidentiality.
- Proactive problem-solver with a commitment to delivering high-quality service.
This position is a summer/seasonal position from late May through August.
