Position Description
The Wellness Arts Coordinator supports the planning, coordination, and delivery of engaging programs that promote a holistic approach to well-being across the Dimensions of Wellness for residents of Arbor Acres. This role creates meaningful opportunities supporting intellectual, emotional, social, physical, spiritual, environmental, and vocational wellness. The Coordinator works collaboratively to ensure programs and events are well-organized, efficient, and inclusive, while managing multiple projects and timelines concurrently. This position plays a key role in maintaining departmental organization, supporting operational effectiveness, and ensuring programs are executed seamlessly in alignment with the Arbor Acres commitment to whole-person quality of life.

Reports Relationships
- Reports to Wellness Arts Manager.
- Indirectly supervises volunteers and supports team collaboration across departments.
Duties and Responsibilities
- Assist in developing and implementing diverse programming aligned with the Dimensions of Wellness.
- Coordinate speakers, performers, educators, authors, and community partners.
- Support delivery of educational, cultural, artistic, and wellness-based programs.
- Assist with special events, seasonal programming, and campus-wide initiatives.
- Provide on-site event support including setup, facilitation, and follow-up.
- Maintain and coordinate the Wellness Arts Calendar and room scheduling systems.
- Manage room reservations for programs, meetings, and resident-led activities.
- Input, manage, and update departmental inventory to ensure materials and supplies are available for programming needs.
- Communicate program details through community platforms, including Go Icon (resident portal) and print materials.
- Assist in creating flyers and promotional materials to support engagement.
- Create monthly newsletters using the community newsletter template, integrating program data and community initiatives.
- Ensure effective, timely, and professional communication via email and telephone with residents, staff, volunteers, and community partners.
- Track attendance, participation, and program data.
- Assist with budgeting support, invoice coordination, and other administrative tasks as needed.
- Purchase supplies as necessary to accomplish program goals and assist in maintaining fiscal accountability of activity/recreation program expenses.
- Lead programming, host events, and interact with entertainers.
- Provide coverage for evening and weekend programming as assigned.
- Support an inclusive and welcoming environment encouraging participation across all levels of care.
- Perform any other duties and/or tasks as assigned by the Wellness Arts Manager.
Typical Physical Demands
- Frequent standing, walking, bending, and lifting.
- Ability to lift up to 50 pounds occasionally.
- Ability to assist with mobility support (e.g., pushing wheelchairs).
- Flexibility to work evenings or weekends for events as needed.
Key Knowledge, Skills, and Abilities
- Knowledge of wellness, activity, and recreation programming.
- Strong organizational, time management, and multi-tasking skills.
- Effective verbal and written communication skills.
- Ability to create and design materials using templates and design tools (e.g., Canva).
- Ability to manage multiple priorities in a dynamic environment.
- Experience working with older adults or in a senior living/community setting is preferred.
- Ability to embody and uphold the corporate culture and personality of Arbor Acres.
Minimum Education
- Prefer (but do not require) a Bachelor’s degree preferred. Educational experience in or direct experience with a related field helpful.
Minimum Experience
- Minimum of one (1) to two (2) years of experience in program coordination, event planning, or activity programming preferred.
- Minimum of two (2) years of experience in administrative tasks, data entry, or volunteer/customer-facing roles preferred.
Technical & Administrative Skills
- Strong proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Teams).
- Basic Excel skills; certification preferred.
- Experience with Canva or similar design tools preferred.
- Familiarity with scheduling systems (Outlook, Google Calendar, Go Icon, or similar).
- Basic budgeting, invoicing, and record-keeping experience.
Additional Requirements
- Valid North Carolina driver’s license with approved driving record; ability to operate company vehicles.
- Successful completion of background check, drug screening, and reference verification.
