Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle inquiries, schedule appointments, and provide excellent customer service
- Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks to maintain accurate records and financial documents
- Organize and file documents systematically, ensuring easy retrieval and compliance with record-keeping standards
- Support office management by coordinating calendar appointments, scheduling meetings, and managing correspondence
- Assist with bookkeeping duties such as invoicing, expense tracking, and basic financial reconciliation
- Proofread documents for accuracy and clarity to uphold professional communication standards
Experience
- Prior office experience or administrative support roles demonstrating strong organizational skills and office management capabilities
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and QuickBooks accounting software
- Experience with clerical tasks such as data entry, filing, proofreading, and document management
- Excellent customer service skills with the ability to handle inquiries via phone or in person professionally
- Familiarity with multi-line phone systems and phone etiquette in a busy office environment
- Bilingual abilities are highly valued to assist diverse clients and team members effectively
- Personal assistant or medical/dental receptionist experience is a plus, especially with calendar management and patient or client support
