The Client Experience Coordinator at Aquasoltech is a frontline revenue-support role responsible for managing, qualifying, nurturing, and converting incoming leads into scheduled estimates and closed sales. This position owns the speed-to-lead process and plays a direct role in improving close rates through timely responses, structured follow-ups, and accurate CRM management.

While this role still handles incoming calls and general reception duties, its primary focus is sales coordination, lead conversion, and marketing data accuracy. The ideal candidate is proactive, organized, and driven by results.


Responsibilities

Lead Intake & Sales Coordination

  • Serve as the first point of contact for all inbound leads (phone, web, email, advertising platforms).
  • Respond to new leads rapidly to maximize conversion rates.
  • Qualify leads by identifying customer needs, product interest, timeline, and readiness to buy.
  • Route calls appropriately while retaining ownership of sales-related follow-up.
  • Schedule estimate appointments with project managers based on product type, availability, and geography.

Lead Conversion & Follow-Up

  • Actively follow up with all unconverted leads via phone, text, and email.
  • Re-engage stalled or inactive leads to push them toward scheduling or closing.
  • Track lead status and next steps to ensure no opportunities are lost.
  • Support project managers by ensuring customers are informed, prepared, and primed before estimates.

Scheduling & Sales Efficiency

  • Strategically schedule estimate appointments to:
  • Maximize daily estimate volume
  • Minimize travel time and fuel costs
  • Increase same-day estimate creation and delivery
  • Adjust schedules as needed to improve close rates and accommodate high-priority opportunities.

CRM, Marketing & Pipeline Management

  • Maintain accurate and up-to-date lead records in JobNimbus.
  • Categorize leads by product type, source, and campaign.
  • Ensure correct pipeline stages and sales notes are entered consistently.
  • Support marketing efforts by providing clean, reliable data to evaluate ad spend and campaign performance.
  • Identify trends in lead quality and communicate insights to management.

Customer Experience & Front Office Support

  • Greet and assist all walk-in customers professionally.
  • Ensure customers feel valued, informed, and confident in Aquasoltech from first contact.
  • Maintain a clean, organized front office environment.
  • Monitor office supply needs and assist with general office organization as needed.

Success Metrics (KPIs)

  • Speed-to-lead response time
  • Lead-to-appointment conversion rate
  • Follow-up completion rate
  • Accuracy of CRM and marketing data
  • Estimate schedule efficiency (drive-time optimization)


Qualifications

  • Experience in sales coordination, inside sales, customer service, or administrative sales support.
  • Strong verbal and written communication skills.
  • High attention to detail and strong organizational skills.
  • Comfortable working with CRM systems (JobNimbus or similar preferred).
  • Ability to manage multiple leads and priorities simultaneously.
  • Sales-oriented mindset with a customer-first approach.
