Payroll Specialist

Job Summary:
This role owns the end-to-end accuracy, compliance, and reconciliation of payroll using Paycom across multiple legal entities and states. The Payroll Specialist ensures payroll, taxes, benefits, commissions, and retirement contributions reconcile cleanly and integrate accurately into the general ledger and ERP.
Core Responsibilities:
Payroll Processing & Compliance
- Process bi-weekly payroll in Paycom for multiple companies and multi-state employees
- Ensure correct setup and calculation of earnings, deductions, taxes, garnishments, and benefits
- Maintain compliance with federal, state, and local payroll regulations and wage & hour laws
- Manage payroll tax filings, amendments, and agency notices in coordination with Paycom
Reconciliations & Accounting Integration
- Reconcile payroll registers, tax liabilities, benefits, and accruals to the general ledger
- Prepare and validate payroll journal entries and support month-end close
- Investigate and resolve payroll variances; document root cause and corrective action
- Support audits by providing payroll schedules, reconciliations, and system reports
401(k) & Retirement Plan Administration
- Administer and reconcile 401(k) employee contributions, loan repayments, and employer match
- Ensure timely and accurate remittance to plan providers
- Reconcile Paycom reports to trust statements and support annual compliance testing and audits
Commissions & Variable Compensation
- Calculate, validate, and reconcile commissions and incentive compensation
- Partner with Sales and Finance to validate source data and compensation plan logic
- Ensure accurate payroll tax treatment and reporting of variable pay
Benefits Reconciliation
- Reconcile payroll deductions to benefit carrier invoices (medical, dental, vision, HSA/FSA, life, etc.)
- Resolve discrepancies related to eligibility, rates, enrollments, and terminations
- Coordinate with HR and benefit providers to maintain clean data flow
Payroll Systems, ERP Integration & Process Improvement
- Maintain Paycom configurations related to earnings codes, deductions, taxes, and reporting
- Support payroll system implementations, enhancements, and integrations with the ERP
- Participate in testing, validation, and parallel payroll runs during system changes
- Identify automation opportunities and control improvements within payroll workflows
- Assist with documentation of payroll procedures and internal controls
Required Qualifications:
- 3 years of payroll experience in a multi-state, multi-entity environment
- Strong understanding of payroll tax rules, wage & hour compliance, and payroll calculations
- Demonstrated experience with payroll, tax, benefits, and 401(k) reconciliations
- Experience calculating and reconciling commissions or other variable compensation
- Strong Excel skills (reconciliations, lookups, pivots)
Preferred Qualifications:
- Experience supporting payroll for 100 employees
- Hands-on experience processing payroll in Paycom
- Exposure to payroll system implementations or ERP integrations
- CPP or FPC certification
- Experience partnering closely with Accounting during month-end close
