Summary
The Corporate Services Specialist supports the execution and day-to-day implementation of company-wide corporate policies and procedures related to corporate services, facilities operations, fixed asset management, security, and operational support. This role focuses on policy execution, documentation, tracking, and operational follow-up, ensuring that approved policies and procedures are consistently applied across the organization. The ideal candidate is detail-oriented, process-driven, and capable of supporting operational governance in a growing manufacturing and technology environment.
Job Responsibilities
Policy & SOP Governance
  • Support the implementation and day-to-day execution of approved corporate policies and Standard Operating Procedures (SOPs) related to corporate services, facilities operations, fixed asset management, security, and access control.
  • Maintain policy documentation, version control records, and operational procedures to ensure consistency and compliance across the organization.
  • Assist in communicating policy updates and procedural changes to relevant departments and ensure operational alignment with company standards.
  • Support monitoring of policy compliance in daily operations and report potential gaps, inconsistencies, or operational risks to the Supervisor.
Fixed Asset Management
  • Execute fixed asset management procedures including asset receiving, tagging, documentation, and system updates.
  • Maintain accurate asset records and support updates to the company asset register.
  • Conduct periodic inventory checks of corporate assets, equipment, furniture, and operational supplies to ensure accuracy of asset records.
  • Support asset movement, relocation, transfer, and disposal documentation in accordance with approved company procedures.
  • Assist with physical asset audits, inventory verification, and reconciliation activities.
Insurance Administration
  • Support the maintenance and organization of corporate insurance documentation, including vendor Certificates of Insurance (COI).
  • Assist with tracking insurance documentation, expiration dates, and compliance records.
  • Support incident documentation and administrative coordination related to insurance claims as directed.
Budget & Expenditure Tracking
  • Support tracking of operational expenditures (OPEX) and capital expenditures (CAPEX) related to corporate services, facilities operations, and related projects.
  • Maintain cost tracking spreadsheets, records, and supporting documentation for operational review.
  • Assist with preparation of budget summaries, expenditure reports, and variance tracking for review by the Supervisor.
Facilities Operations & Workplace Services
  • Support daily corporate services operations including facilities coordination, workplace support, and administrative services.
  • Respond to internal service requests and assist with cross-functional coordination between departments.
  • Support operational aspects of employee onboarding and offboarding, including workspace setup, access coordination, and equipment allocation.
  • Coordinate vendor scheduling, service documentation collection, and operational follow-up for facilities and service providers.
  • Maintain organized records, logs, and reports related to corporate services activities.
Additional Responsibilities
  • Support small facilities improvement projects, workspace reconfigurations, and operational initiatives.
  • Assist with vendor proposal review and coordination of service providers for facilities or operational services.
  • Support internal audits, operational compliance reviews, and documentation preparation when required.
  • Assist with preparation of operational reports, tracking dashboards, and process documentation.
  • Provide operational support for security access management and facility access coordination.
  • Support emergency response documentation and operational preparedness activities as required.
  • Assist the Supervisor or Department Head with coordination of operational tasks and daily activities within the Corporate Services function.
Qualifications
Candidates must be authorized to work in the United States. Visa sponsorship is not available for this position.
Required:
  • Bachelor’s degree in Business Administration, Facilities Management, Operations Management, or related field preferred.
  • 2–5 years of experience in corporate services, facilities operations, administrative operations, or similar operational support roles.
  • Familiarity with asset management practices, inventory control, and facilities coordination.
  • Strong organizational skills with attention to detail and process compliance.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Strong communication and coordination skills with the ability to work cross-functionally with multiple departments.
  • Ability to manage multiple operational tasks and priorities in a fast-paced environment
Preferred:
  • Bilingual in Mandarin Chinese is a preferred.
  • Experience supporting facilities operations or corporate workplace services in a manufacturing or technology environment.
  • Familiarity with asset tracking systems, inventory management tools, or facilities management systems.
  • Experience supporting vendor coordination, compliance documentation, or operational policy implementation.
Location & Work Environment
This position will be full-time based in Sugar Land, Texas. This location has a combination of office, warehouse, and cleanroom manufacturing work environments.
  • Business Hours for this position are 9am to 6pm CT, Monday through Friday.
  • This position may require occasional after-hours response for critical facility issues, site inspections, or executive events.
