Position Summary:

This role provides professional and administrative support for the executive team.

Success Factors:

  • Maintains the strictest of confidentiality and composure while dealing with executive information, schedules and activities.
  • Thinks of the small details behind executive schedules, meetings and events allowing them to flow seamlessly and allow for productive meetings and activities.
  • Manages projects with little oversight, making decisions to keep work progressing productively without interrupting the executives.

Responsibilities:

  • Proactively manages the calendar of multiple stakeholders, effectively resolving conflicts that arise in a professional manner. Serves as a gatekeeper to calls and calendar interruption.
  • Manages all travel planning and expenses, coordinating schedules for executives to maximize time and create efficiencies
  • Is the primary point of contact for arranging executive and company events. Partners with marketing for sales and customer events support and administration.
  • Supports sales executive with project management and work in the salesforce system.
  • Manages the companywide activities such as the Company Meetings, Lunch with the Executives, New Hire Meet the Executives, Ace Values Award Celebrations, Sales Excellence events and holiday celebrations.
  • Manages Avalanche tickets and other customer gifts.
  • Is the coordinator of Emerson Exchange in partnership with sales leadership to enroll selected participants, book travel and reserve hotels, arrange customer dinners and events.
  • Leads projects on behalf of the executive team members.
  • Prepares documents, presentations and other materials for the executive team.
  • Supports confidential human resources functions.
  • Is responsible for records management of MSA/contracts in the customer folder, maintains customer data, NAICS codes, salesperson account mappings. Is the owner of the Customer Agreement Folders across the organization.
  • Serves as the backup to the reception and administrative team.
  • Performs other duties and projects assigned.

Skills/Qualifications:

  • Bachelor’s degree or equivalent experience.
  • Minimum of 3 years’ experience supporting multiple executives at a time.
  • Strong executive presence with high discretion and confidentiality
  • Strong problem-solving capabilities and proactively anticipating requirements and potential problems, skillfully able to solve problems.
  • Excellent organizational skills and ability to multi-task, prioritize, work at a fast pace, and meet deadlines during frequent interruptions.
  • Demonstrates agility and flexibility as activities and priorities change
  • Tactful communication at the highest level, internally and externally with strong listening skills.
  • Strong attention to detail, accuracy, and thoroughness.
  • Technically savvy, advanced clerical and PC skills include experience using Microsoft PowerPoint, Word, and Excel. Salesforce is a plus!

Working Conditions:

Includes working primarily in an office setting, with occasional assignments outside the office. This position may require a flexible schedule if there are training events or customers in the building on an occasional basis. The role is a full-time onsite position, working five days per week with office hours of 7:30AM to 4:30PM. Work outside of standard working hours will likely be required.

Physical Requirements: Sitting, standing, walking, talking, hearing, seeing, bending, stooping, lifting & carrying. Ability to sit for extended periods of time working on a PC. Ability to reach frequently with both hands and arms and operate standard office equipment. Ability to lift boxes of moderate weight ( /- 20 to 25 pounds) and carry them short distances.

This role resides on-site in Englewood Colorado.

Compensation:

$65,000 - $80,000 This position is eligible to participate in the profit-sharing program. Eligible for participation in profit sharing and standard employee benefits including Medical, Dental, Vision, Life, 401K, and supplemental insurances.
