Position Overview:
We are seeking a reliable and detail-oriented Receptionist / Mail and Calendar Clerk to be the first point of contact for our office while also managing critical scheduling functions. This role is ideal for someone who thrives in a structured environment and can balance administrative support with calendar management responsibilities.
Key Responsibilities:
- Answer and direct incoming phone calls in a professional and courteous manner
- Respond to client text messages in a timely manner
- Greet clients and visitors, ensuring a welcoming office environment
- Manage attorney calendar, including scheduling hearings, depositions, client calls, and medical appointments
- Send appointment notices to clients and appropriate parties
- Track deadlines and maintain accurate calendaring of court dates and filing deadlines
- Coordinate client telephone appointments and provide timely reminders
- Maintain and update the case management system with appointment and calendar entries
- Handle incoming and outgoing mail, emails, and faxes
- Open, sort, and upload incoming mail; scan documents and utilize AI software to properly name each document.
- Prepare outgoing mail and ensure it is delivered to the post office at the end of each day
- Assist with general administrative tasks, including preparing treatment appeal applications, requesting medical records and diagnostic reports, and following up with defense counsel on case-related matters
Qualifications:
- Fluency in English and Spanish required
- Prior experience in a law firm or administrative role preferred (applicant workers’ compensation experience is a plus)
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and meet deadlines
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office (Outlook, Word)
- Experience with legal case management software is a plus
- Professional demeanor and strong customer service skills
Schedule:
Monday to Friday, 8:00 AM – 5:00 PM
Pay: $25.00 - $30.00 per hour
