Overview
We are seeking a highly organized and detail-oriented Project Coordinator to support commercial construction and maintenance projects from an office-based environment. This role is ideal for someone who thrives in a fast-paced setting, excels at managing multiple priorities, and has hands-on experience coordinating subcontractors, vendors, and project documentation.
This is not a field role. The ideal candidate has strong administrative and coordination experience within construction or maintenance environments and is comfortable managing projects from start to finish behind the scenes.

Key Responsibilities
- Coordinate day-to-day project activities across multiple commercial projects
- Source, communicate with, and manage subcontractors and vendors
- Track project timelines, schedules, and deliverables to ensure deadlines are met
- Prepare and manage RFIs, submittals, and change orders
- Maintain accurate project documentation including logs, drawings, and specifications
- Schedule and document project meetings, ensuring clear communication across teams
- Support preconstruction planning and resource coordination
- Process subcontractor invoices and assist with client billing
- Monitor project progress and assist with quality control efforts
- Manage punch lists and project closeout documentation
- 3 years of experience in construction project coordination, administration, or similar role
- Strong experience working in an office environment supporting construction or maintenance projects
- Experience coordinating subcontractors and vendors (required)
- Proficiency in Microsoft Office (Outlook, Word, Excel); MS Project or similar tools a plus
- Strong organizational skills with the ability to manage multiple projects simultaneously
- Excellent communication skills, both written and verbal
- High attention to detail and ability to follow processes through to completion
- Team-oriented mindset with the ability to collaborate across departments
- Commercial construction or facilities maintenance background
- Experience with project tracking systems, CRM, or field service platforms
- Familiarity with project scheduling and documentation processes
