Construction Accounting Manager / Office Manager

We are seeking an experienced Construction Accounting Manager / Office Manager to oversee accounting operations and office administration for a growing construction and mechanical services organization in Stratford, CT.
This is a hands-on leadership role reporting directly to the CFO and offers the opportunity to play a key role in both financial operations and day-to-day business management. The ideal candidate will have strong construction accounting experience, including job costing, AIA billing, WIP reporting, payroll, and office management responsibilities.
Responsibilities
- Oversee daily accounting operations, including Accounts Payable, Accounts Receivable, payroll, and banking activities
- Manage cash reconciliations, bank reconciliations, journal entries, deposits, and cash flow activities
- Support construction billing processes, including AIA billing, customer invoicing, collections, retainage tracking, and billing platforms
- Collaborate with Project Managers to ensure accurate job costing, project financial reporting, WIP reporting, and billing accuracy
- Review and approve vendor invoices, subcontractor payments, overhead expenses, and check runs
- Assist with month-end close, accruals, financial reporting, and various accounting analyses
- Oversee weekly payroll processing, timecard verification, PTO tracking, employee records, and related payroll administration
- Coordinate employee onboarding, benefits administration, compliance documentation, and personnel records
- Prepare sales tax filings, 1099 reporting, and assist with audits and compliance requirements
- Manage office operations, vendor relationships, technology administration, equipment management, and administrative processes
- Support process improvement initiatives and implementation of accounting and operational systems
- Partner closely with executive leadership on reporting, budgeting, forecasting, and operational improvements
Qualifications
- 5 years of construction accounting, project accounting, accounting management, or office management experience
- Experience within construction, HVAC, mechanical contracting, plumbing, electrical, roofing, or related industries strongly preferred
- Strong knowledge of Accounts Payable, Accounts Receivable, payroll processing, bank reconciliations, and general accounting principles
- Experience with job costing, WIP reporting, AIA billing, retainage, percentage-of-completion accounting, and construction project accounting
- Experience with construction ERP/accounting platforms such as Spectrum, Sage, Viewpoint, Foundation, ComputerEase, QuickBooks, or similar systems
- Experience with Procore, Textura, ServiceChannel, or similar construction management platforms preferred
- Proficiency with Microsoft Excel and Microsoft Office Suite
- Strong communication, organizational, and leadership skills
- Ability to manage multiple priorities in a fast-paced construction environment
- Experience supervising accounting and administrative personnel preferred
- Associate's or Bachelor's degree in Accounting, Finance, Business, or related field preferred
