Position Purpose
The Receptionist serves as the first point of contact for residents, families, visitors, and prospective residents. This position creates a welcoming environment while providing exceptional customer service, administrative support, and communication to ensure the smooth daily operation of the community.
Qualifications
Minimum of 18 years of age
Must be able to pass the state mandated criminal background screening
Must be able to read, write, and carry out directions in English
Strong interpersonal and customer service skills
Proficiency with Microsoft Office, email, and standard office equipment
Ability to multitask, prioritize, and maintain confidentiality
Essential Functions
Ability to lift up to 20 pounds
Ability to stand, walk, bend, and assist residents as needed to fulfill job duties

Essential Functions
- Customer Service & Communication
- Welcome residents, families, visitors, vendors, and guests in a professional and friendly manner.
- Answer, screen, and direct incoming telephone calls.
- Take accurate messages and communicate information promptly to appropriate team members.
- Respond to general inquiries regarding the community.
- Provide informational materials and basic community information to prospective residents and families.
- Monitor activity in the reception area and assist visitors as needed.
- Administrative Support
- Sort and distribute incoming mail and deliveries.
- Assemble and maintain admission packets, orientation materials, brochures, and other printed resources.
- Prepare name tags, resident door cards, and other administrative materials.
- Maintain office supply inventory and communicate ordering needs.
- Assist with data entry and other clerical duties as assigned.
- Maintain copies of forms and organizational documents.
- Maintains POLO shirt inventory, distributes shirts as directed, send (fax or scan) payroll deduction forms to ORBIS when shirts are purchased by staff. Orders shirts according to protocol set by Administrator or Community Relations Liaison.
- Sales & Community Support
- Collect contact information from prospective residents and forward inquiries to the appropriate leadership team.
- Conduct community tours when designated staff are unavailable.
- Assist with special events by managing reservations, guest lists, invitations, and event materials.
- Prepare notices, and community communications for posting and distribution.
