Job Description
The overall purpose of this position is to support the timely and effective work of the client Computer Society Governance and Strategy team, a highly visible department that supports the client Computer Society Board of Governors, various volunteer program boards and committees, and related processes. The position will support Board, committee and ad hoc committee administration and meetings; review, and maintain governing documents; assist with financial processes, and aid with other volunteer and staff communications. This is a detail-oriented, sensitive, collaborative, and fast-paced support function that requires strong project management skills.
The position supports and regularly works with a five-person professional staff, directly reports to the Associate Executive Director / Director of Governance, and works under the regular supervision of the Associate Director of Strategy and Governance.
The scope of the responsibilities requires that the position work from multiple sources, collaborate with other staff, and establish work priorities based on departmental goals and calendars.
The position will work routinely with high-level Computer Society volunteers, including the Computer Society President and members of the Executive Committee and Board of Governors. He or she will interact with client-and client Computer Society members, client staff and others in order to schedule meetings, execute information requests, prepare documents, and perform other administrative tasks.
This role involves a high degree of discretion and confidentiality, independent decision-making, and the ability to manage complex tasks with minimal supervision. Ability to handle a wide range of responsibilities on a timely basis.

Key responsibilities include:
- Provides general administrative and clerical support for the department's boards, committees and programs: Technical & Conference Activities; Standards Activities, Awards, Broadening Participation, Constitution & Bylaws, Emerging Technology, Fellows, and Nominations & Elections.
- Administrative and clerical functions, include but are not limited, to administration of processes, word-processing of documents, proofreading, contracts administration, maintaining project tracking matrices and producing progress reports.
- Governance & Committee Support: Coordinates scheduling Board of Governors, Executive Committee, program board and committee meetings. Creates and distributes Doodle polls, draft agendas, collects and prepares materials, helps with minute transcription, and maintain archival records. Maintains annual calendar of governance activities. Creates PowerPoint presentations.
- Create appointment letters for presidential appointments, creates and maintains annual volunteer leadership rosters and governance and committee listservs, keeps records of motions and decisions, and manages Google Workspace shared documents.
- Technical Communities Support: Assists with TC election management, tracking of TC information and TC expenses, and the transition of responsibilities to the Technical Activities Department.
- Supports volunteers and staff with the emerging technology and broadening participation funding programs. Support to include assisting with proposal collection, evaluation, and notification. Liaise with grantees and their organizations to execute necessary grant agreements and process grant payments. Tracks funded program activities and collects final funding reports.
- Provide support for volunteers and staff with strategic planning activities and implementation of strategic initiatives. Support to include interaction with initiative leads, tracking activities and expenses.
- Drafts contracts, submits payments and invoices, and compiles financial expense summaries for Board meetings and other activities. Administers volunteer expense reports.
- Supports maintenance of department webpages to ensure information is timely, relevant, and accurate; this involves communicating with volunteers and staff; creating and posting content and working with the marketing department.
- Responds to requests for information about department activities.
- General scheduling and logistical support of meetings and events, as well as specific event task execution and monitoring, such as catering.
- Assists with coordination of major award presentations and shipment of materials.
- As requested, make travel arrangements for the staff, president, president-elect and past president travel.
- Conducts governance-related research on best practices, industry standards and benchmarking, operations and governance structure of organizations similar to the client Computer Society.
- Collaborate with other Computer Society departments on specific projects as directed by staff.
Qualifications
- Candidate must have strong communication and interpersonal skills with ability to interact effectively and courteously with staff, upper-level management, and volunteers.
Technical Skills:
- High-Level proficiency in Google Workspace, Smartsheet, and Microsoft Office (Excel, Word, PowerPoint)
- Comfortable with transcription tools and digital scheduling (e.g., Doodle polls)
- High attention to detail and accuracy
- Ability to work in a fast-paced, customer service-oriented environment
- Familiarity with Tableau (or willingness to learn)
Communication and Organization:
- Exceptional written/verbal communication. Able to write, edit and update correspondence, reports, and spreadsheets.
