Veterinary Receptionist

Apex Vets
Silver, MD Full Time
POSTED ON 12/14/2025 CLOSED ON 12/18/2025

What are the responsibilities and job description for the Veterinary Receptionist position at Apex Vets?

About the Role

At most hospitals, client service is treated like an afterthought. At Apex Vets, it’s a critical part of the medical team. Our Client Care Representatives set the tone for everything that follows—how a worried owner feels, how smoothly the ER runs, and how well our entire team communicates.

If you’re someone who can bring warmth, clarity, and confidence to stressful situations, you’ll thrive here.

Why This Job Is Different

We don’t hire “receptionists.” We hire relationship builders, communicators, and calm-in-the-chaos people who help clients feel supported from the moment they walk in or call.

We want individuals who care deeply about doing work that matters—and want to be part of a team that genuinely functions like one.

Your experience here is designed to feel supportive, structured, and growth-focused. You’ll know where you’re going and what success looks like from day one.

What You’ll Do

  • Greet clients and patients with genuine warmth
  • Manage multiple phone lines with clarity and calm
  • Schedule appointments and coordinate ER flow
  • Gather and enter accurate client and patient information
  • Process invoices, payments, and estimates
  • Explain hospital policies with empathy and professionalism
  • Support doctors, technicians, and your fellow CCRs
  • Perform daily administrative tasks (emailing, filing, reminders, end-of-day duties)
  • Learn our systems quickly and use them confidently
  • Keep the front desk running smoothly, even during high-volume moments

You are the steady voice, the first impression, and the calm center of the ER.

Who Thrives Here

People who:

  • Communicate clearly and kindly
  • Stay poised under pressure
  • Can juggle multiple priorities without losing composure
  • Adapt quickly when things change (they will)
  • Take initiative and solve problems before being asked
  • Handle emotional clients with empathy—not judgment
  • Want to be part of a mature, accountable team
  • Know when to ask for help and when to step forward

A sense of humor helps. So does common sense.

What You’ll Bring

  • High school diploma or GED
  • 2 years of customer service experience
  • Strong computer and multitasking skills
  • Reliability, punctuality, and follow-through
  • Ability to lift up to 40 lbs and stay on your feet
  • Ability to manage difficult conversations with patience and professionalism
  • Veterinary experience is a bonus—not a requirement

What We Offer

  • Competitive pay
  • Full medical, dental, and vision
  • 401(k) with match
  • PTO and personal time
  • Growth pathways within Client Care and beyond
  • A leadership team that actually listens and supports
  • A culture where you are valued from day one

Why You’ll Stay

Because this is a place where people matter.

Your work has purpose. Your team has your back. Your voice is heard.

We built a hospital where the client experience and the employee experience both matter—because one cannot thrive without the other.
