Project Coordinator

Location: San Diego, CA – (On-site 5 days/week)

Overview

Apex Systems is seeking a Project Coordinator to support ongoing utility projects within a fast-paced pre-construction environment. This role will act as a key support function to project managers and cross-functional teams, helping drive scheduling, documentation, reporting, and coordination efforts across multiple stakeholders.

This position requires strong organizational skills, attention to detail, and the ability to manage competing priorities while maintaining clear communication across teams.

Key Responsibilities

  • Provide day-to-day support to Project Managers, including scheduling meetings, tracking action items, and maintaining project documentation
  • Update and maintain project plans, timelines, and deliverables using MS Project and internal systems
  • Coordinate with internal teams to schedule work with pre-construction and engineering groups
  • Support documentation efforts including meeting notes, reports, presentations, and project records
  • Assist in gathering, validating, and organizing project-related data and information
  • Prepare recurring status reports and presentations for leadership and stakeholders
  • Manage job coordination and issuance within SAP and Nexus systems
  • Interpret construction sketches and assist with basic electrical metering documentation
  • Communicate with internal stakeholders including project managers, planners, and customer-facing teams
  • Answer and triage inbound inquiries from customers and internal teams as needed
  • Track project progress and escalate risks, issues, or delays appropriately
  • Support training coordination and communication efforts across project teams

Qualifications

  • High School Diploma required; Bachelor’s degree preferred
  • 1–3 years of experience in project coordination, administration, or related role
  • Strong communication skills (written and verbal) with ability to interact across technical and non-technical teams
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and MS Project
  • Experience with Visio and reporting tools preferred
  • Strong Excel skills (reporting, basic formulas, tracking logs)
  • Exposure to SAP (Production and/or Finance modules) strongly preferred
  • Experience working in a utilities, construction, or engineering environment is a plus
  • Ability to interpret basic construction drawings or technical diagrams preferred
