This person executes on the daily, weekly, monthly and big pictures needs of our 2-office oral surgery practice. The position works collaboratively with, and reports to, the Business Manager and Practice Administrator where appropriate. The opportunity is full-time and in-person, and requires splitting time between the two office locations in Nashua, NH, and Bedford, NH. The intention is that after 1-2 years, this person may have the opportunity to expand responsibilities into the scope of Business Manager.
Financial
- Review production/collection, confirm accuracy and maintain QuickBooks
- Handle deposits, confirm accuracy of day sheets and receipts in management software
- Biweekly payroll, coordinated with Connect Pay (outside payroll service)
- Update payroll withholdings with all new staff information or changes for insurance benefits and deductions, 401k, direct deposit changes, coordinating profit sharing information
- Write checks and track for reimbursement for employees and doctors
- Issue and track refund checks to patients, coordinate with internal insurance group
- Collect all bills from both offices to pay, track in Excel, and digitally file
- Track and periodically audit health insurance, dental insurance, other employee benefits
- Quarterly Bureau of Labor Statistics reporting, workers compensation and retirement plan audits
- Assisting with old, outstanding checks to maintain QuickBooks
- Assisting Business Manager in any finance/business matters
Operational
· Procure office supplies, ordering, maintaining inventory tracking
· Trouble shooting front desk, clinic and other operational problems that surface
· On boarding of new employees
· Organize and execute budget and plan for staff social events and culture club activities
· Open enrollment for employees
· Assisting Practice Administrator in other areas
Qualifications
· 2-5 years of operational and financial experience, any sector
· Excellent excel skills
· Preferred – experience with QuickBooks
· 4-year accredited-college degree
· Willing to learn quickly and be proactive
· Demonstration of fiduciary responsibility
