Apex Management Group is a condominium association management company which practices in Rhode Island, and we're hiring an in-office Administrative Assistant who wants to grow into property management. This is a foot-in-the-door opportunity for someone with strong work ethic and energy who's eager to learn the business from the ground up.
You'll start by keeping our Warwick office running smoothly. As you prove yourself, we'll train and mentor you toward managing your own small portfolio of condominium associations. We provide the education and mentorship — you bring the drive.
No property management experience required. We're looking for the right attitude, reliability, and a genuine interest in building a career in this field.
Schedule
- 20-40 hours per week, in-office five days a week
- This is an in-person position at our Warwick office — not remote
What You'll Do — Day One (Administrative)
- Retrieve, open, sort, and distribute incoming mail and packages
- Handle reception and walk-ins; take messages and log open items as needed
- Manage outgoing mail and shipping
- Keep office and general supplies stocked, and maintain an up-to-date supply list
- Prepare the office for in-person meetings — stock the conference room and arrange food/drinks when needed
- Print and keep standard forms stocked
- Handle filing and maintain the in-office key box (tagging keys in and out)
- Coordinate with the office cleaning vendor
What You'll Grow Into (Property / Association Management)
With training and mentorship, you'll take on responsibilities such as:
- Managing client relationships and responding to owner and resident issues
- Attending and leading association meetings
- Reviewing maintenance requests and coordinating contractors
- Sending bid estimates to clients for approval
- Processing resale certificates and questionnaires
- Sending notices to residents and owners (scheduled vendors, announcements, association updates)
- Conducting property inspections
- Approving bills and assisting with annual association budgets
- Managing access codes, lockboxes, and key handoffs

- Detail-oriented and able to juggle multiple tasks
- Eager to learn and genuinely interested in a property management career
- Basic computer skills (email, simple spreadsheets, willingness to learn our software)
- Prior office, administrative, or customer service experience is a plus but not required
