1.0 JOB DESCRIPTION
The Scale House Coordinator is responsible for coordinating inbound and outbound transportation, maintaining shipping documentation, processing logistics transactions in the ERP system, and supporting efficient movement of materials throughout the facility.
2.0 ESSENTIAL FUNCTIONS
- Coordinate daily inbound and outbound trucking schedules.
- Schedule freight with carriers and brokers.
- Pre-receive and receive inbound shipments in the ERP system.
- Verify outbound drivers and shipment documentation.
- Prepare shipment packets and finalize outbound shipments.
- Apply and verify trailer seals and capture load photos when required.
- Coordinate with Commercial regarding purchase orders for inbound material.
- Coordinate bin and tote returns.
- Coordinate yard trailer movements with yard personnel.
- Perform yard audits to verify trailer locations and shipment status.
- Monitor and update container and logistics tracking reports.
- Process freight bill-backs and supporting documentation.
- Submit freight coding and documentation to Accounts Payable.
- Support customer freight reporting requirements.
- Maintain organized shipping records and logistics files.
- Communicate shipment status with Operations, Commercial, Carriers and Customers.
- Process UPS and parcel shipments.
- Perform other duties as assigned.
- Run radiation scanner
- Must have coverage or a backup when leaving the scale during work hours or have time off. The scale cannot be closed during 1 shift for any reason.
- Must be able to multitask between the computer, phone, truckers/vendors/customers at the scale house window, printing/scanning doc’s, personnel in the scale, and paperwork in front of them (a daily common, and normal situation)
- Emailing shipping documents to customers when a truck leaves
3.0 COMPETENCIES
- High School Diploma or GED along with 1-2 yrs. experience in inventory control preferred.
- Accountable, responsible, organized, and keeps an open line of communication at all times
- Effective written and oral communication skills
- Ability to work well in a team
- Proficient computer skills (Microsoft Office and windows-based software)
- Ability to work in a dynamic and challenging environment
4.0 SUPERVISORY RESPONSIBILITY
None
5.0 WORK ENVIRONMENT
This is a hands-on position and will work both in an office and factory setting. Factory requires use of PPE (Safety Glasses / Safety Shoes / earplugs) and environmental conditions vary. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The employee is occasionally exposed to fumes or airborne particles, moving mechanical parts and vibration as it may be necessary to walk the shop floor.

This is a full-time position, and hours of work and days are Monday through Friday, during normal business hours. Hours of work may vary based on business needs.
