Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management and clerical tasks. This role involves providing exceptional customer service, managing schedules, and ensuring the smooth functioning of daily administrative activities. The position offers an opportunity to work in a dynamic environment where organizational skills and professionalism are highly valued.

Duties

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
  • Support office management tasks such as calendar management, appointment scheduling, and document proofreading
  • Provide customer support via phone and email, demonstrating excellent phone etiquette and customer service skills
  • Assist with bookkeeping, invoicing, and basic bookkeeping tasks as needed
  • Coordinate office supplies procurement and manage office inventory
  • Support personal assistant tasks including calendar management and travel arrangements
  • Maintain organized filing systems both digitally and physically
  • Handle incoming correspondence and prioritize daily tasks efficiently

Requirements

  • Proven experience in office administration, clerical work, or related roles
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with QuickBooks or similar accounting software preferred
  • Excellent organizational skills with the ability to multitask effectively
  • Strong communication skills with professional phone etiquette; bilingual abilities are a plus
  • Prior experience in medical or dental reception is advantageous
  • Ability to manage calendar schedules accurately and handle confidential information discreetly
  • Demonstrated ability to work independently with minimal supervision while maintaining attention to detail
  • Office management experience including filing systems and office supply coordination is desirable
  • Typing speed of at least 60 WPM preferred
