We are currently seeking a Full-Time – Transitions Coordinator!
The Property Management Transitions Coordinator is responsible for managing the seamless onboarding and offboarding of properties within a real estate portfolio. This includes coordinating all aspects of transitions during acquisitions, dispositions (sales), and management changes. The role ensures that data, documentation, systems, and team communications are aligned to support smooth operational handoffs. This position works closely with internal teams, property owners, third-party clients, buyers, and vendors to manage deadlines, mitigate risk, and maintain continuity of service during changeovers.

This position works closely with internal teams, property owners, third-party clients, buyers, and vendors to manage deadlines, mitigate risk, and maintain continuity of service during changeovers.
Transition (Onboarding) Responsibilities
- Coordinate the transition of newly acquired or assigned properties into the portfolio.
- Manage the collection and transfer of all essential data requests, including leases, documents, reports, marketing collateral, service contracts, insurance, compliance records, and tenant information.
- Serve as liaison between owners, property managers, accounting, leasing, and maintenance to ensure operational readiness.
- Lead internal kickoff meetings and manage transition timelines and checklists.
- Update property management systems and databases with accurate property and tenant information.
- Arrange setup of utilities, vendor accounts, security access, and operational infrastructure.
- Assist with converting property service contracts to the company’s standard contract template and terms.
- Provide onboarding support and orientation for onsite and regional staff.
- Oversee the property offboarding process when an asset is sold or removed from the management portfolio.
- Coordinate with ownership, buyers, and internal departments to transfer data, keys, leases, and service records.
- Facilitate due diligence activities for buyers, including documentation requests and property access.
- Ensure termination of utility accounts, vendor contracts, and recurring services in coordination with disposition timelines.
- Work with accounting to reconcile final financials and assist with escrow or closing documentation.
- Manage resident notifications, ensuring legal and contractual requirements are met.
- Maintain thorough offboarding checklists and ensure internal systems are properly updated or deactivated.
- Track and report on the status of all transition and disposition projects.
- Identify process improvements and maintain best practices documentation.
- Escalate risks, delays, or issues to leadership and propose mitigation strategies.
- Maintain high levels of organization, confidentiality, and professionalism.
- Coordinate data integration across systems (e.g. CRM, etc)
- Collaborate with IT and data teams to ensure proper integration of new property data into company systems including financial, maintenance, and reporting platforms
- 2–4 years of experience in multi-family property management.
- Knowledge of property lifecycle processes, including acquisition, management, and disposition.
- Experience with property management systems (e.g., AIM, Yardi, Entrata, AppFolio) is highly preferred.
- Strong organizational, interpersonal, and communication skills.
- Ability to manage multiple priorities under tight deadlines.
- Bachelor’s degree in business, Real Estate, or a related field preferred.
- Previous experience as a Property Manager and/or Regional Property Manager.
- Proficient in utilizing Microsoft 365 tools including Outlook, Calendar, Teams, Excel, Lists, Planner.
- Experience with CRM software such as HubSpot, Salesforce, etc.
- Track KPIs related to transition efficiency and accuracy
- Lead cross-functional transition teams with clear communication, accountability, and proactive issue resolution
- Serve as primary transition contact for both owners and operational leadership, delivering regular updates ensuring complete stakeholder satisfaction
