Our firm is seeing a Regional Executive Assistant - Multifamily!
The Regional Executive Assistant – Multifamily - serves with excellence and will assist growing Apartment Dynamics business while embodying our core values! Help refine processes and champion new initiatives. As an ambassador for the company, deliver the utmost customer service. The Regional Executive Assistant works in a position of support directly with the Vice President of Multifamily. Primary responsibilities include providing operational support to internal departments as needed, promoting operational accountability, and supporting compliance efforts by helping identify inaccuracies and inefficiencies. relationships within our organization.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
· Assist communicating with internal and external customers, including regional team members, site team members, vending partners, residents, human resources, accounting, and operation team members.
· Compliance assistance, audit and reporting as needed.
· Compiles data as requested for audits and analytical reviews. Presenting in a logical format.
· Assists in tracking lender required repairs and documentation/submission.
· Assists tracking submission of lender required repairs/completion.
· Assists in coordinating due diligence, transitions, and dispositions.
· Perform month end auditing for sites and regional team members to ensure timely submission of reports.
· Audit sites recurring expense tracking to ensure proper expenditures are timely.
· Assists in coordination of in person meetings, including scheduling the venue, coordinating sponsorships, and developing collateral for meetings.
· Coordinate monthly company Town Hall hosts and track items to include in Town Hall presentations
· Assists with follow-up for hiring life cycle including compliance of policies for new hires.
· Assists with follow-up items from site visits by department heads.
· Audit hiring ads on ILS platforms to ensure positions filled are no longer open.
· Audit employee accounts that live on site.
· Assist with follow up items from open City Violations.
· Assist with follow up items from Insurance deficiencies noted by insurance carrier inspections.
· Assist with monthly price/rate audits.
· Aid in review and follow up on items in Swift bunny for resident feedback & team member engagement.
· Aid in Budget preparation - site level, regional level deliverables, and completion of budget packages on time.
· Aid in research of client requests, initiatives.
· Assist in creating social media content and posts across all platforms.
· Help develop and coordinate a monthly cadence of home office lunch meetings.
· Assist in creating contests for site teams and regional bench.
· Aid in the process of vetting technology and platforms.
· Assist in deployment/roll out of new initiatives.
Supervisory Responsibilities
This job has no supervisory responsibilities.
Property Management experience of 3 or more years is required. Reliable transportation and valid driver’s license is required. Excellent benefits and a generous PTO plan, in a drug-free work place. Pay: $29.00 - $29.50 per hour
